Hi all,

Just wanted to check in on a few things regarding next year's Round The Mountain. First up for anyone that hasn't heard I am leaving my position within KTS once a suitable replacement is hired, the expectation is that this person will take over the administrative side of Round The Mountain as well. I would be keen to remain involved with RTM, but currently I'm not sure how much capacity I will have, so I will reach out when the time is right!

 I have a few RTM emails that I haven't responded to yet but to summarise and if anyone wants to review any of these I can forward them to you:
  • Somebody asking about the Duo - is it possible to do the Run followed by the bike.
  • One email from a trekker providing feedback on having to let a number of the runners go past.
  • An ice cream truck that reached out wanting to be part of the event
  • A local offering some advice on the website and offering to help us improve it
As far as things that I usually take care of, I already have the letter of support from RCR, and have sent a follow up email to the nature park about their letter of support so that we can apply for our Section 16 through the province. I have created a list of items that I take care of in Monday.com that will be easy for the new person to take on. 

@Stephanie Boulanger how are we looking for registration? Do we have a date when we are launching? We can also get Mia to do some social posts.

I am happy for an ice cream truck to come, especially if it is a nice day. In regards to the Duo, I think running then biking is fine (either way really).

Hey! Thanks James. Would you forward the email about Trekker/runners and the one about the duo.

As for a duo, yes it would have to be run then ride with the participant having a previous RTM time (recorded through fitness app or result within last couple years). Run time is best to base it off of. If they are done the run in ~2hrs then they are not far behind the bikers. This would require another sweep team. The one thing I don’t like is the potential for aid stations and sweeps to be out there well past the ~1-2pm barrier.

The reason the Duo was dropped was two fold: declining numbers and it made for a very long day for Aid Station volunteers.  Not because of the fast people but because there were those that signed up that probably shouldn’t have.  Anyway, not a reason not to try it again just a couple of things to be aware of.

Hey Jim,

The duo is just for the kids :) 

@Jodi Eskelin can you please provide me all the details for lengths of each portion of the event for the duo and what the specific timing is for each event? 

@KTS Admin I will try to get registration set up this weekend on the back end - we typically launch for Christmas, so I would say the target to get early bird (limited) registration online would be the 19th so folks can purchase for gifts, then regular pricing will open up January 15th. I haven't had time to do a new hat design so I'll be doing a colour update (purple?!) to the 2023 year hat (printing of the wording on last year's hat was a bit off IMO). If we can get this up on the website for presale that would be great (I'll send you images prior to the 19th). 

 We've been inching price up each season as we work to have more offered for the event, are we happy leaving pricing were it was for last year for this year and look to increase again next year, or do we want to bump things up by $10 per adult event for this year (leave kids where they are at).

I think these are the right events.  Pascal, can you confirm?

U6 - Event – Run 350m, Bike 350m course
6-9 - Event – Run 700m, Bike 700m
10-12 - Single Event (or duo event) – Run 3.2km, Bike 3.2km (Happy Hans loop)

Registration has been set up and sent in for review, I've set up the duo so that each person will have to create their own registration and add a 'duo partner' as an input and we can line things up before the event lol 

Can folks get me feedback on hat colour option a) olive green or b) slate blue this week pls:

Hi All,
Happy New Year.
Someone this evening asked me if RTM was full already - as they couldn't register.
I just checked and both the 10k run and the Half-Marathon are showing sold-out.  I quickly checked Zone4 and I think what happened is the Early-Bird sold out but it didn't switch over to the Regular pricing afterwards.
Could someone take a look and fix/change what's needed ?

Try it now.  I upped the limits.  Steph can fine tune as necessary .  Kids at 30 each and others over 120.

Now that it's February - it seems that the registration for RTM may be having issues again.  It's showing closed/sold out for a bunch of the categories but I think that's because of the early-bird pricing ending.

I can go in and mess with it/ try and figure out what it should be (with Jim's help too maybe)  - but I don't want to do that if someone else is doing it who has a better grasp of what current fees apply / registration caps etc.

I have up the amount of entries in each event.  They had tapped out during the early-bird period.  Things should be fine now.  Steph can adjust those category numbers to something a bit more specific once she has a moment.  Basically I put the 20K events at 130 and the 10km at 80 and the under 10k at 35.

Here is the present status… something to consider for the future is just go back to an end date, rather than as set number, for Early Bird as some categories have been full for over two weeks which shows them as Sold Out when people try to register…. Just a thought.

Thank you -  it has been a very busy year for me and I haven't had the time I usually do to dedicate to RTM. I will carve out some time this week to look at numbers and adjust. 

The goal this year was to have someone from KTS doing social media but it seems that hasn't materialized, but this would have been the way for us to communicate on the 'Early Bird' window - we also lost the ability to email participants from last year in Zone4 (they removed that option) and can only now email folks as they have signed up so have lost the opportunity to reach out and let everyone know about the Early Bird window prior to registration opening. Something to talk about for next year.

With James moving on from KTS we need to regroup with @KTS Admin to see if they will be having someone take over his role for RTM as this is technically an event that generates funds for KTS the expectation is that there is a certain level of support from the Board of Directors, so would love to hear from the KTS on what the plan is for support.

Hi Steph,
I figured you were busy and wondered about the gap left by James.  I can help, if needed, with anything until the KTS hole is filled.  That is a bummer about not being able to access the email of people registered previously..that was always a huge help.  I wonder if JP might have those emails from the results or master registration list from last year.  Maybe they can be pulled from there and used with mailchimp.

We just heard from Lukas that the short documentary he did for RTM has been accepted by the Vancouver International Film Festival.

Sadly you are not allowed to email market to people who have not subscribed to an email service - Canadian Law, so we can't export and use the list from last year with any email service.

But, as an alternative, we could something out as part of both the KTS and Orienteering newsletters as those people have agreed to be on the mail lists

Hi All,

I've just unofficially started this role this week. I will work on catching up on all of the tasks on my end for Round the Mountain this week and next week so things will hopefully run smoothly from here on out. A couple things it sounds like it would be good for me to tackle ASAP:

- Go into Zone4 and ensure that everything is running smoothly. I work for KNC as well so am very familiar with Zone4, so if there are still glitches I will sort them out. 
- Refund the person that requested a refund (not sure how to do this yet, but I will figure it out!)  
- Email everyone who thought the event was sold out and let them know there are still spots available. 
- Contact sponsors to provide them with the link to sign up their employees
- Update the website (there's some outdated information (I would need the back end log in information for this)
- Post an update on social media on the Zone4 issues and that they have been resolved, and encourage people to register (I need to be added as an admin to the RTM account on FB/Meta, does one of you currently have admin access and could add me?)
- Post in the KTS newsletter about RTM (will figure out how to do this)

Anything else that immediately comes to mind for me to tackle? Sounds like James left a list of tasks for me to complete that I will look into this week or next and start on. 

Sorry that the transition took so long, but I hope now that I'm working I'll be able to give RTM all of the support that it needs!
