Hi Round the Mountain Team,

For those of you that don't know me, I'm Anna, the new Executive Administrator for KTS. I don't have a contract yet so haven't officially started, but it sounds like it is paramount that I get up to speed with Round the Mountain as soon as possible. 

First, is there anyone connected to this email who is no longer involved with RTM? If so, I will remove you from the group so that you no longer receive these emails. Is there anyone new to the organizing team who I should add to these emails? 

As I am new to this role, I will be playing a lot of catch up, especially because it sounds like planning for this year's event is well underway. If you all have any resources, specific tasks, etc. that you are able to share with me, I would appreciate it. On my end, I will look through old emails, resources I can find on Google Drive, etc. to gain as much knowledge as possible to get caught up.

Thanks! I prefer to meet Wednesdays (9:00-3:00) or Fridays (9:00-1:00), but am also available most Tuesday, Wednesday, and Friday evenings, and some Monday evenings from 7:00 onwards. 

As I've tackled some RTM emails and updates today I have a few questions/comments that have come up: 

- Should we create a waitlist in case it sells out? There were a lot of questions about a waitlist from people who thought it was sold out from the early bird mix up. If so, I can put one together in Zone4 if given access to the back end. 

- Just curious-- why is the waiver signing separate from the registration? Would it make more sense to have it integrated so the waiver is automatically signed when people register? 

- On the website it says there is a $10 fee if someone wants to change their registration. How do we implement this? Do they just e-transfer this email?

- Is the KNC lodge booked for the volunteer orientation? 

- The legacy fund page on the website maybe needs to be updated for this year? The link on that page to apply to the scholarship doesn't do anything. 

- The website mentions a pre-order option for hats and socks, however there is nowhere to do so on the Zone4 registration page. Is this something that needs to be fixed? Again, I'm happy to tackle if given access to the back end. 

- Is anyone checking/responding to the in...@roundthemountain.ca email? If so, on emails where we are both cc'd could you cc me in your reply so that I know you've replied and I don't double reply?

Hi All,

Most Wednesdays , and getting together next week after the long weekend would even work.

One thing that we should discuss is whether to bring back the Trail Running FIlm Festival this spring to support RTM and KTS.

We decided to wait until we saw what the film line-up would be - and now it's out.   https://trailfilmfest.com/films/

You'll see that one of the films is our own locally made "Becky Bates, Not a Running Story" , which of course would be a big draw even if many locals saw it as part of the Banff Film Festival.

I stopped in and checked with Centre 64 and got a few dates that may work for us, a few that are open are Friday May 15th or either the Friday June 5 / Saturday June 6th evenings.

Also we should discuss on how to publicize / make available 'Spirit of the Event" - as it's been chosen for the Vancouver International Mountain Film Fest world tour.

Thanks for the notes Anna! Sorry I wasn't able to attend, I've been in the US for work, and just getting back and caught up. 

Just some quick notes:

• Anna - I currently manage zone4, typically it is easier for one person to set up and manage but would love to transfer this over to you/KTS for next year if we opt to keep using it as it seems I have less available time to dedicate to RTM each year and want it to be a good experience for all of our participants! @JP Buysschaert have you gotten Anna set up on the backend? 
• Info@ email - my understanding was that James had forwarded this to admin@ but login info below - however, the verification code currently goes to Jame's cell so he will have to login and update to yours Anna:

  Hats - preorder ends on April 15th currently, though I did just see there was an error in the way this was being displayed not allowing people to preorder so we might need to do a presale via socials and collect money via eTransfer - thoughts? 
  
  Typically I will pull orders in and then order additional for availability at the event and put the order in with Pukka for the hats (will include admin@) - typically James has put this on his CC as he can get payout from KTS RTM funds quickly and my Mastercard has an issue with US purchases and 2 years running has bounced despite me spending hours on the phone with BMO to have it processed lol so that being said, is it possible to put the order on a KTS CC? 
  
  Reusable Cups - I'll reach out to Cupko (will include admin@) about a top up order, looks like 200 units should cover us for participants (we won't give out to volunteers this year, they don't get used), this will be an invoice for KTS to pay out of RTM funds. I'll likely reach out to them at the end of March. 
  
  

• Website management - socks will need to be removed as we decided not to produce socks this year

• @Angela Symes have you reached out to the City about booking the Platzl gazebo for registration on the Friday from 4pm onward?

Hi All,

Here's some updates from my end so far/responses to Stephanie: 

- JP gave me access and I was able to enter in refunds and manage exchanges, so we are all caught up on that front! 

- Looks like the merch pre-order is working now on Zone4, yay! We pay for premium for Wix (website host) which means we can accept payment straight through the website. Would you like me to set up a pre-order on the RTM website to catch folks who didn't get to order when it wasn't showing up on Zone4? 

- Who pays for the RTM email address/account? Do we need the email anymore as it just gets forwarded to me? If not, can we retire it and can I put this email on the website? 

- Who pays for the website? 

- We are working to get a KTS debit card that orders can be put on so we don't have to worry about having things on people's personal cards and reimbursing them. Hopefully we'll be able to get it this week or next. We should be able to put payment for the website, email address (if still using), and things like cups, hats, etc. on the card. 

- I've removed the socks from the website. 

- I'm going to reach out to the city this week regarding booking the Gazebo. We might try to book Centennial Hall as it sounds like last year was a bit soggy. 

- Jodi and I met this morning and I'm going to take over volunteer coordinator from Jodi. I will likely move the volunteer sign up to GivePulse (what we use at the Nordic Centre) as it is what I'm familiar with and we can integrate the waiver into the sign up process. It is $20 per month. Is that an okay expense to add?

I manage the go daddy account where the email address and domain name are registered.  If it is decided to transition from the in...@roundthemountain.ca email I would suggest leaving it forwarded to you until people get use to the new email and everything is updated.  As for the domain name I just updated it for five more years and sent you the invoice about a week or two ago. If you haven’t received it let me know and I can resend.

Hi All,

A couple updates for you: 

- The RTM email is forwarding to this (admin@kimberleytrails) email. I've updated the email on the RTM website to my email, so after this year's race we can probably retire the RTM one. 

- I have added the 5-panel hats to the website. I will remove them after April 15th. 

- I talked to Jodi and will take over volunteer coordination from her, stay tuned as I do more for that (still learning the system for volunteer registration that James set up this year). Connected with Lukas about Spirit of the Event, will do more with that soon as well. 

- Jim, you should have received reimbursement for the domain name, sorry that took me a bit to initiate the payment. 

- It sounds like in the past James has applied to the RCR Summit fund to support RTM. Is this something you'd like me to do this year? Are there any other sources of funding that we typically have that I should reach out to? 

- I'm waiting to hear back from the city about Centennial Hall and how much it would cost to book.

There's an event in the lodge Thursday at 6:00, but we can meet in the timing hut at KNC! The timing hut is the portable/sea can towards the back end of the stadium.

One other meeting place option that might be more convenient to meet at is the KOC / KTS storage spot - at the Friends Used bookstore just off the Platzl parking lot... if we don't need to be on-site at the KNC to plot out where things will go on race day.  There's seating at the back or in the bookstore itself.
