We have about 40 Chromebooks that are no longer receiving updates and are being removed from our system. They’re still fully functional, and I’d hate to see them end up as waste.

We’re exploring the idea of getting these into the hands of families who may want or need a device. Before moving forward, I’m hoping to get some guidance on any policies or procedures we should be aware of.

Let me know what steps we should take.

That will allow you to reset the models as part of the procedure.

For models that were shared with my congregation, I then installed ChromeOSFlex, so that they would still have some support available. Directions are here: https://support.google.com/chromeosflex/answer/11552529

We asked for a donation of $35 at the time to cover that cost of a new admin console license for a replacement unit, but if a family asked for one, we didn't worry about it.

If that set doesn't interest you, you could potentially also harvest replacement screens for your newer models, if still in good shape and compatible.

On the tech side, make sure that you powerwash the devices, through the admin console, before giving them away. That way they are no longer managed, cleared of all downloads/user info, and are reset to factory settings.

Other than that, you might want something in writing about getting the devices "as is," with an acknowledgement that it no longer receives updates and that the school is not responsible for any support/repairs. I can send you a PDF (can't find a doc or docx unfortunately) of WLA's purchase agreement if you would like, it wouldn't be completely applicable but could be something to start with.

On the topic of "price," its really up to you. I would say that if they would otherwise become e-waste, something under $40 or whatever it would cost you to properly dispose of them. In my opinion, there isn't a wrong answer to this aspect unless you would be making more than it would cost to just get rid of them.

Something to consider – you indicated the Chromebooks are no longer receiving updates. All Chromebooks have an “expiration date” for updates after which time it opens them to security issues. Although the hardware may still work the operating system is vulnerable. You would want to have full disclosure to anybody taking the Chromebook(s) warning them about the issue.
