Called Worker Google Access at the Acceptance of a Call

Good Afternoon,
I am looking for feedback from the group about how other congregations handle changes in called workers.  When is it typical to revoke access to files and email access in your congregation?

For called workers who are working on a July 1 - June 30 basis, we end their access on July 1, essentially the same time frame as when we stop paying them. I do occasionally make exceptions to help smooth the transition for them or for us.

I've never had an actual policy, so I usually just discuss it with the person and we agree on a date. Otherwise,if I don't get a chance to discuss it, I suspend them when I think of it and wait and see if they contact me looking for access.

I am writing this as a retired healthcare security officer.  We had 1300 or so employees.  Our policy was to remove access as soon as possible after the individuals’s last work day.  If the separation was unfriendly, HR would set up a high priority task that was taken care of immediately.  Policies like that are probably overkill for your situation.  I still think that you should remove access on the person’s last day, but that could be negotiated with the individual.  If they are taking a call to another church or school, they probably want access to lesson plans and related documents.  In the unlikely event that a person gets terminated, definitely remove access as soon as possible.

I would give them access and instructions for Google Takeout so they can download anything they want. You don’t want to be in the business of restoring access to something after someone has left. This is what we do for all staff and students in our district - they are removed after June 30 if everything is on friendly terms.
