For those who might be interested and for those who missed the meeting the morning:

A new Society Financial Policy has been posted and takes effect 1/1/26.  The document can be found here:  https://www.sca.org/wp-content/uploads/2025/12/SCA-FinPol-2025-Revised.pdf .  

 - There are some big changes, and the one that affects us the most is that the deposit timeframe for pre registration and gate income has dropped from the 30 days previously allowed by corp (only 14 by Kingdom policy) to 48 hours.  The Society Exchequer has verified that time frame as end of event, so if you have a multi-day event you don't have to leave site and find a bank.

 - All reservationists and head gate personnel need to be provided with pre printed deposit slips to make timely deposits (order a book of deposit slips before your next event)

 - When groups place their next check order, the checks should state Group Name, SCA Inc or Group Name, Society for Creative Anachronism, Inc (if your bank wants it spelled out).  The Maryland groups are to use Group Name, SCA-MD Inc.

-  Non-members who are comped to be onsite for an event must pay the NMR and sign a waiver.  Kingdom policy is going to continue to limit the number of non members who can be comped.  The group may NOT pay the NMR for a comped non member.  That must be paid by the non-member or an individual who wishes to donate those funds.  **repair personnel, rangers (at parks or camps), maintenance persons required to be on site, police, etc are not considered attending the event and are treated as if they are not present.  

- Bank statements and proof of reconciliation with Seneschal's signature are required to be uploaded monthly

 - New financial policy is also in a different format, so we'll have to alter to match like last time

The other thing we went over was a reminder that NMR reports are due to be emailed to me within 5 days of event close and the check needs to be mailed within 14 days

the Society SCORES Deputy requested that people make sure they put the necessary 'close pre registration date' on the form so she knows when to shut it off
