BVCCSC Members, our volunteer-powered club urgently needs a new Registrar. This role is essential to all aspects of the skiing and programs that our club provides. We need to have a new volunteer in this position by the beginning of November, so don’t delay and let us know if you might be able to help. Here’s our best effort to sell you on the role of REGISTRAR

  • After many years of volunteer service to the club, our current Registrar is stepping down soon. 

  • The heavy lifting has already been done and registration will open in early October. The replacement registrar’s work will start in November, managing the system for the rest of the ski season.

  • The Registrar works from home & does not need to attend board meetings (a bonus!).

  • The past Registrar has a well-established system in place and will be available to answer questions and provide advice to the new Registrar. Succession planning at its best! 

  • We use Zone4’s registration system (Zone4.ca). Familiarity with Zone4 is an asset but not essential, there is support from the past Registrar & Zone4. In addition to using Zone4, the Registrar will work with spreadsheets, and update some parts of our website.

  • The work is estimated to take several hours per week in September and October to set up registration then a few hours per month to answer queries and produce reports.

  • Registration closes by mid-February after which the Registrar does a wrap-up report of statistics and answers occasional queries.


From the Director Handbook: Annual BVCCSC Registrar Tasks

-Gather input from directors, staff & program leads on their registration needs for each season.

-Build registration form in Zone4 for club memberships, season passes, programs & volunteering.

-Open up registration to public by first week of October.  Create PDF forms for special registration situations that can’t be done by the public online such as changes to a registration, fee discounts, and payments by cash or cheque.

-Create price lists and publish on bvnordic.ca

-Create registration information reports in Zone4 and distribute links to club directors, staff and

program leaders as needed.

-Maintain https://bvnordic.ca/registration/ webpage.

-Keep the Register/Events information box on home page of bvnordic.ca up-to-date.

-Respond to questions from the public about registration, ski passes etc

-Respond to special requests for registration data from club directors, staff and program leaders.

-Add and make changes to registrations in Zone4 database as these come in.

-Track and follow-up on any fees owed to the club for registrations.

-Determine refunds for registration cancellations and provide information to club treasurer for

processing refunds.

-Provide treasurer and bookkeeper with a breakout of financial accounts for registration revenue

deposited weekly to the club by Zone4. Similarly, provide bookkeeping information for cash and

cheques deposited for memberships, passes and programs.

-Provide a summary to club directors on registration numbers for the ski season.

-Ensure club meets requirements for division affiliation and CCBC enrollment each year by Oct

15.

-Maintain Division Affiliation section of Zone4.

-Manage User Permissions in Zone4 to authorize individual access to administration of forms for

races, ski camps and other purposes.
