ARL volumes held: holdings records without item records

Hello,

I'm curious how others are counting volumes held for ARL sats when materials have holdings records but no item records. In our case, these titles are discoverable in the catalog, and users can request a specific issue or digitization, but it requires some follow-up to clarify which item they want.

We're Alma Analytics users, and when we create item-level counts for ARL reporting, these records (materials have holdings records, but no item records) are not included. To include them, we need to build a separate holdings-based report with additional conditions. 

How others handling this?

Here’s how I’ve done it:

 

Alma count of physical titles with no attached items, and Alma count of physical titles with no attached items in the Law Library

To determine the count of titles that do not have associated item records, perform an Advanced Search (using magnifying glass icon to the left of search box) in Alma for unsuppressed (bib and holdings) physical titles in the institution zone, created before July 1 of the current year, that do not have items attached:

Record the totals for each of the resource types in the chart below, in column A. 

Then edit the Advanced search query to limit the results to those that are in the Law and CELT Libraries specifically and record the resource type-specific results in the chart below, in columns B (Law) and C (CELT):

I am assuming that each monographic and physical serial record without attached items represents at least one volume.  This count from Alma does include duplicates with the results from Analytics, as it is counting records for which there may be one holding without items and also one holding with items attached, however, I am also assuming that under-counting by format at this step adjusts for over-counting these duplicates between the results from Alma and from Analytics.

The results below were taken from the facet “Resource Type” for all book or map resource types and physical journal resource types (i.e. limit the results by material type book, map and serial in turn, excluding microform, map, & “non-print” resource types)  Note that Alma categorizes atlases in the map material type, not the book material type.
