Starting range for this position: $70,000 - $80,000 annually
In this role, the Business Systems Administrator leads the
day‑to‑day administration, support, and optimization of the organization’s
certification database. This role oversees system configuration, reporting,
data quality, and user support for the Intact platform, and serves as the
primary liaison between internal teams and the Intact vendor to ensure the
system reflects current processes and meets organizational needs.
Responsibilities include configuration updates, report development,
coordinating system releases, and training staff on new features and changes.
The role also maintains supporting business systems, including the internal
Bookstack Wiki, the RPost email‑tracking platform, and assists with website
maintenance or migration activities as needed. Performs other duties as
assigned by the manager.
Key Responsibilities
- Serve
as the main point of contact between internal teams and the Intact vendor
team for enhancements, troubleshooting, and system updates
- Configure
and maintain Intact workflows, checklists, roles, permissions, objects,
and related elements based on documented requirements
- Develop,
maintain, and schedule reports that support program operations,
compliance, and leadership decision-making
- Coordinate
and complete user acceptance testing for system updates and releases,
including documentation and communication of changes
- Monitor
data quality, run routine audits, identify issues, and complete or
coordinate necessary corrections
- Maintaining
the user-friendly interface for our new Client Portal.
- Provide
staff training, documentation, and user support to ensure consistent and
effective use of the system
- Triage
system-related support requests, resolve issues, and track vendor tickets
through completion
- Administer
the internal Wiki platform (Bookstack), including coordinating
hosting/server needs, performing routine updates, managing user access,
and troubleshooting issues.
- Administer
and monitor RPost email delivery processes connected to Intact, ensure
accurate transmission records for compliance needs, and troubleshoot or
coordinate resolution of any delivery issues.
- Contribute
to occasional website migration or maintenance efforts by assisting with
data transfer, content updates, and coordination with web support teams.
- Maintain
system documentation, including process maps, data definitions, change
logs, and user guides throughout systems.
- Support
data extracts and integrations in partnership with the Intact vendor
- Utilizes
approved AI tools and emerging technologies to optimize workflows and
enhance reporting.
- Uphold
data governance, access management, and security standards in all
system-related work.
Required Qualifications:
- Associate
degree or technical certification, or equivalent practical experience.
- Two or
more years of experience administering a primary business application,
ideally supporting certification, compliance, or case management
workflows.
- Strong
preference for candidates with prior experience using the Intact platform.
- Experience
supporting or administering additional business systems such as
documentation tools, email‑tracking platforms, or content management
systems.· Experience working with external vendors to resolve technical
issues, test enhancements, or coordinate system updates.
- Experience
conducting or supporting user acceptance testing for system changes or
releases.
- Proficiency
with SQL for coding, querying, validating, and troubleshooting data within
enterprise applications.
- Familiarity
with C#, and either JavaScript or Python- some use required
- Experience
building operational and leadership reports using Crystal Reports or
similar tools
- Familiarity
with basic website or content management system maintenance, including
assisting with updates or migration tasks.
- Experience
preparing system documentation, user guides, or training materials for non‑technical
audiences.
- General
understanding of data governance principles, including user access
management and data quality practices.
KNOWLEDGE, SKILLS AND ABILITIES:
- Ability
to administer and support business applications, including configuration,
role/permission management, and troubleshooting across multiple platforms.
- Demonstrated
ability to gather requirements, translate needs into configuration
changes, and document decisions clearly.
- Skilled
in collaborating with external vendors to resolve issues, implement
enhancements, and ensure systems operate as intended.
- Ability
to learn and support new systems or software tools with minimal guidance,
including documentation platforms and web content tools.
- General
understanding of website structure and content management systems; able to
support basic maintenance or migration activities.
- Understanding
of data governance principles, including access management, data quality,
and secure handling of sensitive information.
- Strong
analytical, troubleshooting, and organizational skills with attention to
detail and data accuracy
- Working
knowledge of ETL (Extract, Transform, Load) processes, with the ability to
review data mappings, identify data quality issues, and support
troubleshooting of data integrations.
- Excellent
verbal, written, and presentation skills; able to train non‑technical
users
- Familiarity
with change control practices, testing, and release management
- Ability
to research information from multiple sources and identify, collect, and
organize data for decision making.
- Adapts
to changing business needs, conditions, and work responsibilities and
works with a variety of situations, individuals, groups and varying
customer needs.
- Prioritizes
tasks by importance and deadlines and adjust priorities as situations
change.
- Strong
customer service orientation, interpersonal skills and relationship
building required.
- Proficient
in MS Office applications and ability to utilize other software programs
as needed.
