Address book questions

Using Word 2000, Outlook 2002, Win98 SE.

1. Start Word, click on Address Book icon, get Choose Profile dialog.
There's only one profile listed. Click on Options, check box to set
as default profile, click OK. Next time I start Word and click on
Address Book, same thing happens. How do I avoid this Choose Profile
dialog?

2. After clicking OK on the profile, get Select Name dialog. Show
Names box includes two items - Outlook Address Book and Contacts. All
the address info is in Contacts, nothing in Outlook Address Book. How
do I get all the info into Outlook Address Book and eliminate the
Contacts item, so I won't have to choose each time?

File info:

PAB file: \Win\AppData\Identities\MS\AddressBook

WAB file: \Win\AppData\MS\AddressBook

Both files are the same date and size. Both show recent updates. If
I rename the files, still get the same dialog box to choose between
Outlook Address Book and Contacts.

And of course there's the Outlook PST file in:
\Win\LocalSettings\AppData\Outlook

I'd like to get rid of the PAB and WAB files, and have everything in
Outlook.pst. How do I go about this? Thanks!

1) I don't believe there is a way around this other than having Outlook
running in the background.

2) The Contacts folder is displayed as an address book using the Outlook
Address Book service. It must be in your profile to use Contacts folders as
address books. You can, however, set the Contacts folder as the default to
display.

Select Tools | Address Book. Select Tools | Options. Select your Contacts
folder in the "Show this address list first" field.

Outlook 2002 does not share data with the Windows Address Book (WAB), so you
can probably ignore that file. Outlook Express uses it. All your Contact
data is stored in your PST file.

Check to see what you have in the Personal Address Book (PAB) by opening the
address book again and selecting Personal Address Book from the "Show names
from the" drop-down. If there is no option for a Personal Address Book here,
you aren't using it and can ignore that PAB file. If there is an entry for
it and if you don't have any addresses in there you want to use, select
Tools | E-Mail Accounts | View or change existing directories or address
books | Next and remove the Personal Address Book service.

Outlook is always running - ?

The Contacts folder is the only address list available, according to
the drop-down list.

There is an option for a Personal Address Book, described by
applications as "Empty."

I selected Tools | E-mail Accounts | View or change existing
directories or address books | Next. Up came one - only one -
address book, named "Outlook Address Book. Type MAPI."

I am to remove that? My hand trembles. What would happen?
Could I lose the whole address book, the whole Contacts
folder, my MAPI capability which enables me to call up addresses in
Word and address envelopes and labels?

Incidentally, there's another odd thing, with which I can live. When
I call for the (MAPI) address book in Word, a preliminary screen comes
up, an old friend. In this screen I can select a name and call for
Properties. Until now, I have been able to edit the data for that
name in Word - as well as in Windows Messaging or Outlook. I.e.,
there were two distinct avenues to getting to the PAB and making
changes. Today, when I get the preliminary screen in Word, select a
name and punch Properties, nothing happens. Curious.

Do you have multiple profiles configured for Outlook?

If the Outlook Address Book service is the only one installed, as I said,
this is what makes your Contacts folder available as an address book. If you
don't have a Personal Address Book service listed, don't remove anything.

How, exactly are you calling for the address book in MS Word? Are the
addresses you see in there the same as what you see if you open your
Contacts Folder?

If I may ask a further question about this? I had five Contacts folders
listed in these dialog boxes. One doesn't exist at all in Outlook that I can
see; two were duplicates. I deleted all but one from the list in
Tools/Options.

BUT the "Show addresses in" dropdown in Tools/Address Book still lists all
five. Is there any way to clean out this list? Or to clean these spurious
references out of Outlook?

I did run Scanpst.exe yesterday. I should probably note that this PST file
has also been opened in a German interface. And it has been opened (but not
as the default pst) from within Off11Beta1.

Here's his response. I understand he may have tried to contact you
directly by email, sorry about that.

When I installed Outlook, I had Outlook import the PAB data into
Outlook Contacts. Then I renamed the PAB file to disable it.

The WAB file for OE remains as it was.

I don't have multiple profiles configured for Outlook.

To call the address book in Word, I select Tools > Envelopes and
Labels. Up comes the Envelopes and Labels screen including an
icon beside Delivery Address, which I click, which brings up Chose
Profile. Only one Profile only is offered. I try to make it the
default profile, but I can't. So I have to click on the profile each
time Word is called.

Next comes: Show Names from the: Outlook Address Book and a message:
No entries in this Address Book.

I click on the down arrow beside the box. Up come two choices,
Outlook Address Book and Contacts. I click on Contacts. Up comes a
MAPI address book with data for each entry in Outlook Contacts.
Oddly, the Properties button does not work for any selected item.

It seems to me that user-friendly software would easily accommodate
Word's ability to call the MAPI data in Outlook Contacts without each
time clicking on the only profile offered and without having to
dismiss the entry-free Outlook Address Book each time.

I wonder whether I should uninstall the Windows Messaging
application. Would that corrupt something in Outlook?

I'd be grateful for any suggestion.

I believe this is known behavior. Unless you have Outlook running in the
background, Word wants to ask you for the profile. Also, the default Outlook
Address Book is displayed first, like the prompt for the profile; regardless
of the settings in Outlook. This is still a known issue with the latest
Office XP Service Pack level.

Thanks Patrick. He has Outlook running all the time, so I'm not sure
why the profile request in Word. Other than that, sounds like this is
just a bug that hasn't yet been worked out?

All normal behavior that can't be changed. Because of the address book
engine employed by Word it will always ask for a profile even if one is
running.
