World Health Organization (WHO) in Viet Nam is seeking a Vietnamese nationals to
work full-time as an Administrative Clerk to manage its library and provide
communications and media support.
The incumbents will work in the WHO Office in Hanoi, under the supervision of
the Information and Communications Officer and in close collaboration with other
staff.

Description of duties
Under the direct supervision and guidance of the Information and Communications
Officer the
incumbent will performs the following functions:
1. Provide support in the maintenance of the office library by performing
library tasks such as
cataloguing, shelving of library materials and assisting library patrons in the
use of library materials
and facilities.
2. Log, register and update records of all Who publications, materials and
documents.
3. Open, maintain and update the manual and electronic files and records.
4. Enter date in library databases, maintain and organize a variety of lists,
records, and files such as
periodicals, catalogues, interpretation, dissemination and follow-up of releases
and in the preparation
of Who Internal Note.
5. Provide clerical support to the Information and Communications Officer on
maters relating to
media liaison, translation, interpretation, dissemination and follow-up of
releases and in the
preparation of WHO Internal Notes.
6. Collate and assemble background material and information needed for news
releases, press
interviews and in the dissemination and translation of relevant materials.
7. Make arrangements for meetings, press conferences and interviews, including
preparation of
related documents.
8. Compile daily press updates on important issues and assist in the
translation of routine briefing
documents and notes and Vietnamese press articles; monitor press coverage for
other issues as
required in an emergency.
9. Maintain and update the Avian Influenza (AI) website.
10. Provide support in the arrangements for translation, editing, and printing
issues.
11. Perform other related duties as required.
QUALIFICATIONS REQUIRED:
Education
Equivalent to graduation from secondary school with training in general clerical
duties and/or library
work
Functional Skills and Knowledge:
Thorough knowledge of office procedures. Good computer skills and ability to
adapt to various
software applications. Familiarity with library operations. Ability to draft
correspondence, summary of
meetings, and notes for the record, etc. Typing skills. Ability to work
harmoniously as a member of a
team, adapt to diverse educational and cultural backgrounds and maintain a high
standard of
personal conduct.
Experience
Three years' experience in general clerical duties and some library work.
Experience in working with
media and in communications.
Languages
Excellent knowledge of spoken and written English and Vietnamese.
