Subject: Today's tidy up and new idea

Hey all,

We've done a big load of tidying in the hackpace, we've moved a bunch of
stuff around but still can't throw out the bins without some vehicular
assistance to the dump (my car's too small)

We've also come up with a new way of managing stuff that's stored here.

There's a bunch of stuff stored upstairs in the 'box room', and most of it
is useful and fairly organized. We've extracted some of that which isn't
and put it on the shelves just inside the front door IN BOXES. The boxes
keep it looking fairly tidy, and the fact it's the first thing you see when
you walk in makes it look like a priority.

These boxes will be gone through, one every Wednesday, to decide what to do
with the stuff
a) keep, so long as there's room in storage upstairs, on the second racking
downstairs or under the stairs (or if it's tools or TRULY ACTIVE PROJECTS,
somewhere in the main space)
b) throw out, in the bin or recycling
c) strip, break down into component parts (which then get sorted as above)
d) sell/give away

When each box is gone through, it will be stored back upstairs or under the
stairs, and replaced with a new bit of crap in a box, until there's no crap
left (yeah right...)

Each box has a two week life-cycle, and after that it's all going in the
bin. This will be agreed on a wednesday.

Stuff to be sold will be assigned to a responsible person TBD with the
proceeds going to the hackspace.

This keeps the only storage areas under the stairs, or upstairs on the
shelves. If there is no room in the storage, there's no room for stuff to
be brought into the hackspace. We need to keep the main space in the
hackspace absolutely tidy for hacking. Active projects can be stored UNDER
BENCHES and IN BOXES, with names and dates on them, group projects get a
responsible person, etc.

This policy must be agreed on, put on the wiki and strictly enforced, so
i'm looking for comments on this!

Thanks loads,
Ryan

ps. thanks a lot to the crew for helping out today!!

I have created a Google Spreadsheet to help us track this 'Stuff' . A link
to the "Published Version" can found via
http://readinghackspace.org.uk/wiki/Hack/Do_Not_Hack_Stickers

I will give people the link to a form for adding stuff and another link for
editing the spreadsheet on Wednesday if people are happy with the idea,  I
have designed it  to be a place we can add and track stuff. It has the
following fields:

Timestamp: Automatically added by the form
Date Changed: a manual field for noting date/time when info is added or
changed, can be "copied/paste value" from the NOW field
Status: Pending OR To Be Disassembled OR For Disposal OR For Storage OR In
Storage
Description:
Action:  To Be Disassembled OR Move to Storage OR To Be
Sold/Disperded/Dumped OR Decision Needed
Minder: Person currently minding the item, or a contact to ask about it

And there are two fields that are for an unique ID and a printable label.
The heading of each is a link to a tool:

https://www.grc.com/passwords.htm Is a tool to generate a random* fixed
string of 64 Characters that should never* repeat. I can be used in a
database in the future if required, and a link to http://goqr.me/ where a
QR code can be generated by cut&pasting the 64Chars and this QR code can be
printed to create a label if desired

I'm sure members will be keen to help improve the spreadsheet and processes
:)

-Mike

BTW. I moved a bottle of IsoAlchol from the lobby shelves to the chemical
cupboard. - Mike
