Balkan meeting - new proposal: Take Balkan meeting to next level

At MozCamp, Nino, Ioana and I have talked about Balkan meetings that we are
having every year and we discussed about how we can improve it.
The idea was to make these meetings better, larger and more fun.

We'd like to hear your feedback on how we can improve it. Thanks.



*Take Balkan meeting to next level*

*How should we improve Balkan meetings?*

- the idea of new Balkans meeting would be sessions and workshops.
Something similar to MozCamp. People from Balkans countries have different
interests and different roles in contributing to Mozilla. Lets make 3 (or
more) main sessions so people who attend to Balkans can decide which one is
closest to their interests.

- Balkan meetings should be about sharing informations and experiences,
learning, socialising, having fun and making new friendships.

*Welcome to Balkans meeting session*

Lets have a keynote, let's have an introduction (something like Community
Quilt presentation) , let's meet each other and share some experiences and
ideas.

This welcome session would be an introduction to Balkan meeting.

*Make three or more main sessions*

Not all of Balkan meeting participants are interested in localization, how
Pontoon works, or how can you run FirefoxOS on Linux. On previous meetings
we had only one session which covered few topics.

Making main sessions like we have on MozCamp will allow attendees to choose
which one they want to attend, so they can learn more about topics that
they are interested in.

This will make smaller groups of people who can work on something and will
make productivity on meetings much higher. After this work groups there
should be an output - analysis and Action Items

Examples of main sessions:

1) Localization (l10n)

- best practice


- different tools / different projects

2) Community building, event organizing

- identify community with fewer people - help them out

3) Develompment (B2G apps, ?)

4) Firefox - new features
5) Firefox OS
6) Marketing campaigns/insights?

- on Balkans meeting, from each country we used to have two attendees, but
new proposal would be to enable more attendees from each country. there are
countries that have more mozillians pretty much involved and some with
fewer members.

- more participants would mean more productivity, more ideas and
suggestions and yes more fun .
- Mozilla meetings give people "Mozilla spirit" and encourages people to
get more involved with Mozilla.

Main problem with maximum number from each community is budget.
But, there are ways to save money and allow more people to attend.

*How can we save money?*

- use hostels instead of hotels (rooms with 4 or 6 beds?)


- or even cheaper hotels


- wisely pick restoraunts that are cheap but offer good venue and food


- trade for good prices : promotion, reviews, etc - partnerships

*4 days of meeting*

Schedule

- *First day*


- if we use hostels, we can stay longer. First day is arrival and
welcome evening event.


- *Second day*


- second day shold be a workshop day with pauses where we can make a
small event like going to coffee shops and give out swag or something.


- why making an event during workshop day? - because we need to get away
from work and free our minds. :) Event should take 2 hours (less or litle
bit more)


- *Third day *


- whole day of workshop like second day, but also with event (or not).


- *Fourth day*


- fourth day would be a day for closing Balkan meeting and having PHUN.
Planned sightseeing and going out.


- NEW : have an open workshop with local FOSS Communities


- NEW: events like free hugs from Firefox Mascot or giving free stickers
are very good to make our products more popular

- next Balkan meeting is proposed to be in Cluj-Napoca, Romania.
- should we have two meetings per year, or? If yes, when?

Hey Oskar!
I loved your ideas and I can't wait to run it!

work on and put them on an etherpad[0].
Then we can arrange an online meeting to discuss which of them are we
going to run on the actual Balkans meeting.

It is really important to work on important things that have to been done.

Our moto at Mozacamp was "Mobilize Mozilla" so I suggest we have to
work on that!
Firefox OS and Firefox for Android have to be our main topics for
discussion and brainstorm.

Additionally it would be lovely if you could get in touch with local
FOSS communities as you mentioned or local communities in general.
It would be great if we would run some presentations/workshops in
local students and teachers presenting them WebMaker, Firefox Addons,
Firefox OS etc. It's a great opportunity especially thinking that
there are going to be at least 15 Mozilla Reps and contributors.

I have just create a etherpad[0] where I organized and summed up our ideas.
Please feel free to add/edit on the Pad and keep the mailing list for
discussing ;)

My proposal, in the name of Fundația Ceata - Romanian Free Software &
Free Culture organization [1], is to host the Balkans meeting in
Bucharest, Romania [2].

It's easier and cheaper to get here by plane, train, bus or car, being
the capital and actually being located in the Balkan Peninsula [3]
(close to the border with Bulgaria).

There are also more hosting plans which can help us make savings, there
is a subway network which allows us to avoid traffic and stay on schedule.

Fundația Ceata recruted all three Mozilla Reps from Bucharest [4] and
its members are involved in the Mozilla project since the group was
formed in 2008.

Fundația Ceata organizing the Balkans meeting 2013 in Bucharest could be
the needed practice for organizing MozCamp Europe 2014 in Bucharest, as
we have proposed to William.

Ceata had previously helped organizing big events, such as eLiberatica
2009 [5] which had an attendance of 350+ participants.

We have a pad [1] where we will try to discuss what should we improve in
future Balkan meetings, and how can these meetings help communities in
Balkan area.

Balkan meeting should take care of Balkan region and problems that
communities have.
Because of these problems, we need to split in few groups (sessions) that
will cover those problems.

Example: localization: why is there no localised version of Thunderbird in
Bosnian, who can work on it? Or why is no one working actively on Serbian
SUMO?

Marketing should cover topics such as: which events to run so we can
Mobilize Mozilla (Firefox for Android, FirefoxOS) etc..

Growing community session should help communities that are lacking people.

And so on.


We should not forget that Balkan meeting is about us, and it's here to help
us out on our problems in Balkan region.

So the first thing we need to work on is this proposal, how can we make it
better?

If Balkan meeting turns into something that is really effective and pushing
Mozilla project (and communities) fowards, I believe that there won't be
problems about budgets, more attendees, and two meeting per year.

But we need to show *them* (this include ourselves too) that this meetings
are very productive and problem resolvers.

Next level Balkan meetings are going to educate, help, connect and put
communities in right direction.
So please, let's first work on suggestions and improvements that will help
us.

Thanks Oskar for the proposal and everyone for their feedback so far. Note
that no Balkans meeting is in the works yet.

I like the idea and scaling up the meeting and changing the structure to
make it more effective. I'm going to help with this, starting with a
meeting with Oskar and Ioana this week.

As for the location, it is a little too early to decide that yet. We'll
provide a place where locations can be nominated, and from that list one
will be chosen.
