About the presenter:
Prof Ngulube is Professor of Information Science at UNISA. He is also Chair
of the South African Society of Archivists (SASA). He has extensive
experience in records, archives and disaster management. He consulted with
Mr B Abbot from the UN International Criminal Tribunal for Rwanda regarding
information and knowledge management. Prof Ngulube is a rated NRF researcher
and has done extensive editorial work for various journals of information
science. He has published numerous articles in scientific journals. Prof
Ngulube worked for seventeen years as a records manager at the National
Archives of Zimbabwe. He lectured archives and records management at the
Harare Polytechnic College from 1995-2000 and at UKZN from 2000-2007.
Who should attend?
Managers, administrative personnel, records managers and anyone who works
with records or want to learn about records auditing.
Aim:
Records management auditing (RMA) is concerned with a systematic examination
and evaluation of business record keeping systems, procedures and functions
of an organisation. RMA is the first step towards effective records
management. This workshop aims to provide a practical basis for auditing
records management programmes and the raising of awareness of this
fundamental aspect of recordkeeping practices.
Workshop contents:
- Role of regular internal and external records management audits
- The components of the methodology for a records audit:
o Initial background research and scoping of project (Sample or census?
What's the correct sample size? Which records should be analysed? Where are
the records?)
o Preparation and familiarisation with the organisation's records management
programme and development of audit tool
o Audit information gathering
o Report writing
o Audit improvement implementation
Outcome:
At the end of this workshop the learners will be able to:
- Understand the role and importance of an audit policy in the achievement
of the organisation's objectives
- Describe the expected scope and conduct of a records management audit
- List the documentation required for records management audits
- Design a records management audit plan
- Understand the contents of an audit report and how it fits into the whole
audit process
- Evaluate compliance with records management related standards,
legislation, policy and guidelines in context
