Managing university records for competitive advantage in the 21st century

Universities traditionally are hubs of knowledge. Their business is to create, share and preserve knowledge. Yet, universities seem to show little care for the internal knowledge they create through their records and document management systems. Universities seem reluctant to invest money in records management systems, unless they can visualize how such systems can directly benefit their core business, students. Based on the present experience of the presenter and previous experiences and studies in records and information management, the paper argues that those universities that manage their records effectively will gain competitive advantage over their peers. They will attract and pass more students, attract more funding from government and partners and thus keep afloat during recession. They will comply with the law and demonstrate accountability. They will also be able to preserve their memory and build on their accumulated organisational knowledge and experiences for the benefit of posterity.
About the presenter:
Mr Ashabai Chinyemba is Archivist and Records Manager at the University of the Western Cape. He is currently working on a project to establish a legally compliant archives and records management programme at the university and to revise and streamline the university’s document management system. Mr Chinyemba holds a Masters in Information Studies from the University of KwaZulu-Natal. He has over twenty years experience in information and records management. He worked as Programme Leader for the Records and Archives Management degree programme at the Zimbabwe Open University. He was also Chief Archivist for the National Archives of Zimbabwe. Mr Chinyemba co-authored an article with Professor Ngulube of UNISA on records management in higher education institutions in South Africa, published in the South African Journal of Information Management in March 2005. His area of interest is university records and archives management systems, electronic records and document management systems in higher education environments.
