Notes from Community Leadership Team meeting held 30 March 2010 21:00 UTC

Chairman

Ole Bang Ottosen

Attendees

  • Brad Baker
  • Peter Martin
  • Ole Bang Ottosen
  • Wendy Robinson

Topics

1. Previous Meeting Followup ~ This is Opening meeting

A. Joomla! Community Leadership Team responsibilities

  • Do a brief discussion on which main areas CLT has ownership and should demonstrate responsibility for and have accountability of. Discuss tasks list doc. List of sites from 'Tasks' list were discussed and we agreed which are our responsibility
  • How to improve regular concact with the teams and volunters that handle the tasks of above? Reach out more by public google group, by mail, by skype and gtalk. Have at least one representative from each team participate at google group. Suggestion of a team leader chat, for us all to be closer connected

Action:
Share list of responsibilities with OSM and ask for agreement.

B. Status of site redesign

  • Wendy update on progress on project 'site redesign'. People involved, goals set.
  • Which impact is expected on current set of sites, and the volunters maintaining these? Wendy informed that redesign is run by a team of, Steven, Casey, Paul, Brad and Wendy. Goals: mainly a big overhaul of organization, particularly important information on the front page of j.org
easier ways for people to find things and contact information, highlight of current news and announcements. No timeline yet. But what they've started doing is an assessment of each site and it's needs. After that assessment we can inform wider community about progress and proces. Nice new joomla.org sitemap discussed, and was confirmed it will be incorporated and styled in redesign. Work is handled using activecollab and the notes and organization so far are reported to be fantastic

Action:
No action until assessment of each site and its needs done. Then blogging etc. can be done.

C. JED Team status and technical difficulties

  • Ole brief on team status. Evaluation of tasks and description of technical issues. Ole informed of his "clumsy" entry at JED team, which got mixed up with a lifted finger about non-related issues. That unfortunate issue aside, general impression was that we have a good team knowing how to get things done. Lately new member Pierre and senior member Paulo done an amazing effort, and team have managed to reach zero~0 pendings at all areas, submissions/reviews/reports, so hats off for the team. Team lead and JED vs CLT communication was discussed. Perhaps a meeting between CLT and JED.

Action:
New server.

D. Forum status - Team and tech

  • Peter brief on forum team status. Activity, mod-team, planned improvements. Peter informed about forum. Tonie and Robin left as Global mods. Olaf doing a great job in his new role as global mod. It has been discussed to add extra global mod. Brad working directly with a phpbb guy. Was discussed to do a cleaning of inactive mods as done in past

Action:
Peter will investigate further the options for an extra new global mod.
Peter will discuss with Wendy and other globals how to handle cleaning up inactive. Mail, WG forumlist.

E. Social community network

  • Brad bring a status on investigations and preparations in creating a new social community network.
  • Team, volunters, more hands? Brad informed about preliminary work with new social community site, and it was discussed how to announce, blog and inform and involve community.  Discussion about design and about establishing a team to manage, establish rules and policies etc.
Action:
1. Find responsible person for site
2. Prepare announcement with Voxus
3. Then decide, based on design progress, and in conjunction with site responsible which step to take next.

F. Community Magazine

  • Status on community driven Magazine. Progress, difficulties?
  • Team, CLT responsible/contact. Brad and Ole informed briefly on status. Seems like design and setup is showstopper currently. Paul done an amazing effort and keep things moving forward, and we agree he is main drive in pulling this all together. Good work done!

Action:
Ole get in touch with Paul to check up on general status of magazine.

G. JUGs - CLT tasks vs OSM approvals

  • Ken bring a status of "transition" from Elin to CLT?
  • Team members, activity, etc. This item need input from Ken, who did not participate in this meeting, as its unclear if the managing tasks Elin did for JUGs are in the works to be handed over to a CLT responsible. .

Action:
Postpone until feedback, and add for next meeting

H. External networks and joomla listings

  • CLT or OSM communication subteam handle twitter, facebook, etc. ? For example, who decide which twitter people are followed.
  • Brad update on how we update external joomla listings, like Jozsef work at keeping correct info about joomla at sites like osalt.com Team discussed the various networks and listings and that there is a crossover in who handles these. Partly OSM and partly CLT, which is fine. Was suggested that Voxus could push items at official twitter account. Briefly discussed who maintains external listings and that we get an update on that. Suggestion to compile a full list of social networks, lists, followers and who manage which could be useful for PR firm to know. Blog sites too.

Action:
Brad mail Joszef to keep in touch and update.
Peter start a google spreadsheet for a full list of social+lists+maintainers / Brad sent Peter a list during meeting and saved him 12 hours work. Update list?

I. Internationalisation and localisation in community perspective

  • Ole briefly share idea on improving the non-production i18n and l10n effort. Localisation project targetted 3rd party developers, translators in terms of collaboration, and non-english end users. Ole briefly informed about a old/new idea of improving i18n and l10n in a different perspective. We are pretty good covered at production/translation side of this, and then have this hole in the end user and 3rd party developer support of localisation.
  • Its a huge topic, and consist of minor onsite friendlyness towards non-english people at our sites - which I hope can be part of redesign.
And secondly the larger part, an easier way for users, 3pds and translators to deal with non-english versions of non-core joomla
  • Goal is somewhat what students target at list currently, partly localize.j as drupal, and maybe a little different. Have a clear idea where we can improve on this, and hope that students of this summer may be those kickstarting it.

Action:

Ole try to get in touch with the students if Mark find that suitable, and share ideas with them.

2. CLT setup - Representation of teams

A. Dynamic composition of CLT

  • Important working teams, like JED Team, express a wish to have direct representation at CLT instead of a "Big Brother feel" / Oversight from current CLT. Valid, but is it possible?
  • Dynamic CLT vs old school? How can we improve? Time running and we decided to discuss 2A + 2B directly at maillist as they need special attention

Action:
Ole start mail reply-to-all on this topic

B. Teams and team member map

  • Everybody need an overview of who is who, from new OSM people over CLT to ordinary community members. How about starting with a handcrafted map similar to the excellent work Elin and Jenny did for j.org footer? Time running and we decided to discuss 2A + 2B directly at maillist as they need special attention

Action:
Ole start mail reply-to-all on this topic

* Next meeting, same time in two weeks.

Hi,

Just FYI the core team took responsibility for the JUGs over 2 years
ago and it has never been an OSM responsibility. Michelle was the lead
and continues to be very active since she returned and no from my
understanding Ken is managing. Yes the JUGS have used the OSM CiviCRM
system but that's OSM's ONLY involvement in the last 2+ years.

Hi Elin,

You are absolutely correct that the responsibility of JUGs been at CT and is now at CLT.
Sorry if the meeting notes should have indicated anything else. My fault.

Clearly we at the CT didnt follow up good enough at maintaining a leading position for that important task, and the current CLT will now do our best to handle our responsibility differently for this.

When we mention the transition of tasks from you to CLT, it was only to credit your valuable contribution for JUGs and to give you credit for having shared your knowledge, skills and time even when not responsible, and for making sure things got done when we at CT failed to follow up. Thank you!

Ole

I've been in touch with Joszef. Next on my list after his feedback is
to contact the PLT about a small change to this workflow. Hoping the
PLT will look after these 3rd party repositories for listing Joomla.
We have some tools available to help coordinate this thanks to
Joszef's great work.

Spoke to Mark today. He's looking after this now, and will contact
Joszef to find out a few smaller issues.

Next!

_______________
E. Social community network
- Brad bring a status on investigations and preparations in

creating a
new social community network.

- Team, volunters, more hands? *Brad informed about preliminary

work with
new social community site, and it was discussed how to announce,
blog and
inform and involve community. Discussion about design and about

establishing a team to manage, establish rules and policies etc.*

Action:
1. Find responsible person for site
2. Prepare announcement with Voxus
3. Then decide, based on design progress, and in conjunction with
site
responsible which step to take next.

________________________

I have done some work on number 2. We need to look at number 1 and 3.

I've given some more thought to what I said at the meeting about
pushing this out in a "beta" form before the new site redesign is
completed. I still think this might be the best way for us, but that
aside, we still need to get 1 and 2 done first.

So.. do we post a blog about number 1? Or do we need to have a meeting
with a few others about some already potential candidates we may have?

Hi,

I would like to take on some on-going responsibilities within this social community network.

What can I do to start?
