GENERAL SUMMARY

In this position you will be responsible for providing executive-level support efficiently and effectively with a high degree of confidentiality and professionalism to the office of the Sector level CEO. Duties are typically complex in nature and may involve access to confidential and/or sensitive information. Works independently to prioritize work and deadlines. Determines methods and procedures to use to resolve problems. Serves as an information resource concerning the organizationTMs policies and procedures.

ESSENTIAL RESPONSIBILITIES

- Provides executive-level support which includes, but is not limited to, maintaining executives calendar and schedule, coordinating complex travel arrangements, and maintaining accurate files.
- Screens incoming phone calls on behalf of the executive. Provides information or directs inquiries to the executive or other appropriate resource. Takes and relays messages; greets visitors.
- Reviews executiveTMs incoming mail and electronic communications. Handles responses on behalf of the executive.
- In executiveTMs absence, ensures that all departmental administrative matters are handled appropriately.
- Drafts routine and non-routine correspondence for executiveTMs signature. Reviews all documents prepared for the executive. Makes changes as needed. This may include assignments of a confidential and/or sensitive nature.
- Assists executive with the preparation of presentation materials including creating, proofreading, editing, and printing.
- Participates in committee meetings by preparing minutes and presentation summaries, planning meeting agendas, and organizing and managing meeting logistics.
- Coordinates projects and ensures all are completed in a timely and efficient manner and follow-up is done on all administrative details.
- Interprets organizationTMs policies and procedures in response to inquiries. Communicates information to management.
- Performs other duties as required.

Qualifications:

JOB SPECIFICATIONS

- High school degree or equivalent. AssociateTMs degree preferred.
- Previous (7+ years) administrative experience supporting a high-level executive in a complex organizational environment.
- Ability to interact with all levels of internal and external personnel such as board members, other senior executives, customers, outside vendors, and investors.
- Detail oriented self-starter with excellent verbal and written communication skills.
- Demonstrated organizational and time management skills.
- Must possess a strong sense of urgency and ability to deal with very sensitive issues in a tactful, positive, confidential manner.
- Ability to initiate and handle multiple priority projects concurrently.
- Proficient with a variety of software applications.
