Next Tuesday (28th) of August we're having a Meeting to vote on a few
things. I'll list the current agenda items we have here but if you have any
others you'd like to bring up please *let me know ASAP (Today if it's
financial).*
Agenda Items:
1. Vending Machine - It's been an idea that's floated around for ages now
and I would like to propose we set a budget to acquire one. To be clear,
this would be a snack machine modified to dispense 3d Printer
Vitamins/Electronics Parts/Kits and possibly snacks of some form that don't
need refrigeration. My proposal is that we set a set budget limit of up to
$1000 to acquire and refit it for this purpose.
2. Drinks Machine - This one is a different bugbear to the one above, I
believe having a drinks machine at the space would be good from the
perspective that at the new site we'll have markets next to us every
weekend and this would provide some extra income for the group to spend on
projects and tools. Additionally, I believe it'll be a cool thing for us to
hack on and adapt (incorporating the RFID system and possibly something to
allow members to swipe their card instead of inserting coins). I'd like to
propose we set a budget for this, but as it's not a must have right now I'd
like to suggest we actually deal with it after we move into the new site.

Yeah, we do need a couple more sets of hex allen keys. Our current sets
have gone slowly and partially walkabout. I'll add acquiring a couple of
sets (Imp and Metric) to the agenda.

I don't want to be purchasing equipment or tools when they go missing
due to people being lazy and not returning them.
If a tool breaks due to wear and tear, then yes lets replace it.
If a tool breaks due to miss use, the member should help in the replacement.
We need a system to record broken tools in the new space,
if only we had a Mother :p

G'day just a thought if the allen keys cheap enough (i couldn't work out the pricing on the alibaba website). you could give new members (long term ie 3 months or more) a set of allen keys (or similar tools), then it's something that would not would 'walk' as members would take ownership of their tools.

Yes, tools going missing is a very real problem we have at the moment.
It ranges from having to search for 30mins every time you want to find one (and usually not finding it), to tools that have disappeared completely. On a personal note, I'm noticing people are borrowing things off my desk and not returning them increasingly, which is (for me) particularly distressing.
It's a tricky problem to solve, and I think it would be a good discussion to have. My initial first run at a solution would be having all tools barcoded and scanned to be removed, so at least we know who had something last.
Finally, I agree with Luke. Replacing worn out tools is fine, buying more because people cant put stuff back is incredibly counter productive. And we definitely need a way of tracking broken tools. Perhaps in its simplest form, a bin especially for broken tools, ie for drill bits to screwdrivers to multimeters etc. Catalogue the contents every other week or so.

been suggested and looks like a good deal.
5. Lost tools - Where are these going and what can we do to stop it
happening?
As a reminder, we also have our cleanup at the new site tomorrow from 10am.

I won't be in attendance for the next meeting.
So as part of the discussions I would like to see some way of
informing new members and current members on the way we handle lost
and broken tools. (What ever that may be)
I think this is one of the main reason things are going missing and
others aren't respecting members benches as they are non the wiser.
Things like signage, and info sheets might be a way forward.

Actually, we need a better induction process. the current process is
varies from "thanks for paying, here's your access card" to "please don't
use the lathe/mill/lasercutter without getting some some instruction
first". Both of those are a start, but we need to do better.
So... I ask *YOU*.... What important information would/will make a new,
just-paid-up member's experience better. ( If you are a new member,
and there is something you learned "by omosis" , please speak-up, as we
should probably have this written down some place better! )
I'm rather not make this a "dont do these things" list, so can we word
suggestion/s positively, please.
Here's some of my ideas:
* please contact Eric or Lemming ( our Trainers) if you wish to use the
Lathe or (large) Mill, as you need to be signed-off on basic safety first.
* please contact Lionel if you'd like to get something laser-cut or milled
on the little (PCB) CNC Mill. ( He owns these ) .
* Please label things. Everything. If its yours, label it. Put your
Name on it. If it's not yours, but you know who's it is, label it with
*their* name.
* If something is not labeled, then it might get (a) used by someone else,
or (b) moved into some dark corner of the space or (c) thrown out.
* Donation/Loan Stickers are available for things that either you want
back, or that you donate that are valuable ( eg LCD's, oscilliscopes, power
tools, etc )
* If you have crap at your house that you dont want, we don't want it
either. ( unless it's cool or awesome, but then it's not crap, ok. )

probably should cover what sort of consumables the space provides.
some of the more important rules we have, like dont sleep in the space, 5 days notice of purchase request etc etc.

As someone who joined nearly 2 months ago, here are my thoughts:
- Pretty much everything mentioned so far should be explicitly stated. Most I picked up, but it would be easy to miss some things. - Name signs on the edges of desks/workspaces aren't immediately obvious. The space is very visually busy and the names are usually written on duct tape under the ledge - they don't stand out. Not a problem once you know they're there, but it took me 2/3 weeks to notice them. - I notice around Sean's area there are benches with black/yellow warning tape. Is that an indication that those are his spaces? That's not at all clear. - Names on tools. Are un-labelled tools by default the spaces or personal? I'll happily respect the exclusivity of other's tools (without asking), but at the same time if there's a tool not currently being used by someone that appears to be the space's I'll use it. (Resulting in me taking one of Josh's tools from in front of him without asking and making him think I'm a huge dick :P ) Obviously it's courteous to ask if you're not sure if someone's using it. - Fire exits are easily identifiable. Though it should be pointed out that at Light St, once you've gone out the back exit, to escape you need to go left - Intuitively, I would think to go right. - Chemical safety stuff is common sense: If you don't know what it is, don't touch it until you learn lots more. An induction booklet of some sort would be great and the more that's
in there the better, I showed up at the hackspace only knowing that
there were tools there and people to talk to, I knew NOTHING about how
the space worked or any of the procedures for anything and since I've
joined I've been busy bringing myself up to speed.
First and foremost there's safety, which has been said but I've
noticed on the main hackerspace website there's a template for forms
regarding liability, I think there should be a folder of pre-printed
forms that people have to sign before they can join.
Then there's the really basic theory of what a hackspace actually is,
the ethos of it, the culture, people may be reluctant to help out and
share their knowledge if they think it's just a pay to use workshop.

There is no legal need for any form/s to be signed by members.
Also note, there is no members indemnity insurance, so if you are unhappy
with the safety of something, it's your responsibility to look after
yourself, no-one else-s.
Everything you do as a member, you are 100% liable for. The form/s
listed online are for our "public liability insurance", and this only
covers the public ( visitors, non-members ), and only for typical public
liability concerns ( like falling and slipping and that sort of thing) .
Just to add to this, there's two more things to add to the agenda.
6. There's a large amount of wood to be chipped/mulched at the new site.
Josh/devians would like the group to vote on whether or not we should hire
a wood chipper for a day to get rid of it. This would come out of the $1000
budget that has already been set for materials for the new site, but we
would like to run it past the group in case someone has access to a wood
chipper for cheaper or can offer a better option.
7. It's now been two months since there was a call for voting/discussion on
which part of the office building at the new space we're taking the walls
out of. Currently the prevailing opinion is that Option 2 is what we're
going ahead with but it would be nice to have this voted on and cemented.

I have a rehearsal tonight so probably won't be in till about 9:30pm.
You can count my vote for vending and drink machines, although I would
prefer if we left those purchases until after we move into the new
space. They would be a pain to have to move.
On the issue of tools going missing or getting broken I think we
definitely need some rules/guidelines and an induction for new members/
visitors. I don't think we need to be nazis about rules, but basically
if you use a tool; put it back in its proper place before you leave!
If something breaks; have a box or a place to put broken things so we
know they need replacing, or see if they can be repaired.
