09/17/2008 Billing Remittance

Providers,

The 09/17/2008 billing cycle was run today. But if you log-in to the
CBIS web site to retrieve your remittance advice on-line, you will be
unable to do so. We have encountered an error, which we are trying to
resolve. This issue will probably not be resolved until sometime on
Thursday, 09/18/2008. Please be patient as we try our best to fix the

Providers - please note the following about CBIS

Many providers are still using the E-billing spreadsheets to submit
their billing. If you are one of these providers:

The traditional cut-off dates still apply to you. I will not be
accepting late files from any providers. You have until midnight EST

Providers -
CBIS ran another successful billing cycle. However, many of you are
still having issues with CIMS or other CBIS issues and I wanted to
take time to address them. Hopefully, this will help you for future
billing cycles.

Providers -

To those of you who are using the CIMS on-line system, thank you for
using the new system and having patience with the kinks and issues
with CIMS as we work them out.

Some of you are reporting issues with the on-line system. And some of
those issues are valid issues that we can only fix here at CBIS.

Update Form:

Errors when entering evaluations--it says I cannot have new referral/
pending child status. This error has been fixed. You should be able
to enter evaluations now for children with pending eligibility.

Errors when entering assessments--it gives some error about row 1.
You must hit the Update button when you change the eligibility status

Billing Clarification

I mis-spoke when I said you could go online tonight and enter today's
visits. The most recent date of service you can enter online is
yesterday's date. This is to prevent fraudulent billing, as you are
not allowed to enter services until after they are delivered.

This means that on the web-billing cut-off, which is 5:00 pm August 5,

With the introduction of CIMS, there has been some confusion over the
next cut-off date. To clarify:

1. If you fax your bills (which we hope you will not do; take
advantage of CIMS instead): your cut-off date date is 3:00 pm on July

Announcing CIMS, the Child Information Management System

CBIS announces new online billing and summary sheet features, starting Monday, July 21. Providers and Service Coordinators will be able to enter billing and summary sheets directly online without sending them to CBIS at all! This does not replace the electronic billing spreadsheet upload option, which is still available. And this is not TOTS.

Due to First Steps transitioning to TOTS, there are going to be
changes coming to CBIS of which you need to be aware.

First, as a First Steps provider, you may not have the same program
assistant helping you with your billing issues every time you call.

Web Server Back Up!

files. We will extend the deadline, for electronic files ONLY until
midnight tonight (Thursday, May 8, 2008).

Remember, your files should not contain any dates of service for today

Sometime last night our building experienced a power outage causing
our website to go down and malfunction. This did not occur until 7:52
pm, and therefore only affected those providers who waited until the
last minute to upload their billing. Please do not wait until the

It's another cut-off day, and once again the fax machines are very
busy. We had some problems early this morning, and had to clear the
cache. If you faxed something to us between 11:30 pm April 15
(Tuesday) and 10:00 am today (April 16) please call our office to
confirm that we received your fax.
