A Drupal camp in Pune would be better.
Pune till date have had many success camps/events such as
 
barcamp, clubhack, gnunify (one of the biggest in asia)
 
phpcamp will also be held in pune this september.
 
Pune is the best place to hold such camps.

 Chennai has international airport, We can really depute two students at chennai airport and provide pickup 2 - 3 times in the day.

 My 2 major points are :
1> World class infrastructure (which means if Dries wanna give keynote from US/hungary, We have web conferencing ) We can really get some web conferencing sessions.
2> Student force (I can assure 50 students organizing team, all technical .. they can really conduct drupal booths, demoing stuff) who is organizing in pune ?

In Pune we may have to checkout with Pune University or
Symbiosis University . Also I know companies like PSPL and many other
will give their infrastructure.
But still I will prefer to work with Academic institutes.

Things at Chennai are promising .

Also main thing is how big/active drupal or LAMP community is in
Chennai or in Pune.
In Pune we have very good PHP / LAMP community .
Also hundreds of companies in Pune are interested in PHP / LAMP /
Drupal community.

Symbiosis has all the infra that is needed. We also have big tech
student community that can be targeted for drupal camp.

more than IEEE or CSI  I've found it useful to work with LUG's, CSI and IEEE have different agenda all the time and they are more event oriented than learning oriented and this I am speaking abt my 4 years of experience with them through out south India mostly.

Amit, Lets meet at php camp and see how we can take it forward

Instead of CSI or IEEE  I will suggest collaborating with PLUG or CSLUG will help us.

@Dipen If our aim is to spread awareness among students then it is better to keep DrupalCon Like structure, without any fees for attendees. I am sure companies can sponsor us(they already did).

@Swapnil phpcamp and drupalcon are such efforts.... 

personally I prefer barcamp style freedom.

Just to share our experience, we had vaibhav working on drupal camp full time for nearly 3 to 4 months along with our development team who put up drupalcamp site and handled the cheque payments. Over 20 volunteers also worked relentlessly for the first camp.

We had to charge fees because Dhirubhai Ambani Institute put a high price on usage and we had to cover transportation costs, etc.

I'm sure Pune has other similar and better infrastructures (considering the Wireless Issues we had at DAIICT) and if they can be made free, the event can rock!

We can get symbiosis infrastructure for free. Wifi is a problem even here, but can be managed. Also as drupalcamp site is up and running now we don't have to put a development team on that, 1-2 vol can manage that.

Also I would like to know your experience with sponsors.

DrupalCon itself is a mix of Conference + Bar Camp style things like birds of feathers. We need to think of better ways to contribute to drupal.org in whatever capability we can, be it documentation or translation. It wont be bad to roll out hindi translation package at next drupalCon. 
 
As I am not sure whats the magnitude of sponsorships you can get from companies and what are costs involved, I cant be sure to go for free or paid attendance. Roshan can you help us here?  what were the costs involved? 

I think DrupalCon is a great model to follow, Its extremely fun and informative. there is always something for someone always. This drupalCon actually had one session on how to conduct drupal conferences.

We can ask to various colleges in Pune
like Symbiosis, VIT, Bharati, PICT, MIT colleges.
Or
We can talk with companies.
I don't think we have any problem in that. But we have to show
potential in this event.

I had attend Foss.in and many other events in India.
We have to show more openness in Management. Other things can be manage.
About contribute to drupal.org, that is more important. We have to
plan in advance for any such session. Then we can ask campper to come
with some home work.
Other wise most of time we spend time in basic things.

DrupalCon == Conference + Bar Camp style
Will be great .

They already had given it free for many events.
GNUnify, Java Meeting, Blogger Camp,etc .

But official permission is the only formality.

Amit,

We certainly can put drupalcamp09.drupalindia.in when dates are announced.

Sponsorship was really tough but I guess it literally depends on drupal shops and end users to sponsor such events. It helps community in general and a way to contribute back for the usage of Open Source.

I have asked Vaibhav to upload the accounts on Drupal Camp side.

          After reading "Financial Overview of Drupal Camp".
We are really happy to see the transparency of work. I have experience of organizing events. I know how difficult it is. Also I know how much important it is.

Swapnil and all,

First event anywhere is always challenging. With lessons learned and the community united in first Drupal Camp, I'm sure the message will spread fast and everyone will try and help in next.. and then next.. so things will just get bigger and better.

We will do whatever we can to help the next camp in Pune.

I certainly believe that we do need to have united indian community at http://www.drupalindia.in or any other site for Indian community. More now then ever as we can post our own challenges.  Lets not have others follow the 'Britishers' divide and rule policy to split the Drupal community.

So  - are the dates announced? - The sooner the venue and date gets finalized, the better time you get to focus on real marketing and promotion. In our case, DA-IICT went through a looooooooooooong approval process 2 to 3 months and it was painful experience :-(. Just wanted to share some of our experiences.

We thought of something in feb, Dates not finalized till now. Lets finalize the date by the end of the week. It should start from friday and be till monday IMO. What do u guys think?

also we want to help u in pune...we are near to pune..also want to take part in such events...
we are new in this software field..also trying to run fast to get one job for experience yaar...is any one have its own company???...

Sorry Guys,

I took so long... as Amit has already told you that we were meeting on
saturday for discussions.

We have decided To host next Drupal Conf on 7th Feb 2009.

I think dates are still to far but we can now discuss and come to an
conclusion on how we will organize this, then it would be great.

For venue we have 2-3 options
1. SICSR
2. SSPMS OR Any other College
3. ThoughtWork

Date : 7 Feb 2008 aturday

We discuss for many of dates for Feb Month.
In month Feb we can attract good number of students.
But still it will be depend on GNUnify event's Date.

14 Feb Valentine Day - so no chance .

We are still not zeroed in on venue. but i think we can market the event with venue as tbd. In last meet we discussed whether to keep it paid as last time or make it free.

For venue we are looking for PICT and SICSR, will let you guys know once we get the confiramtions

Happy New year to everyone.

Sorry - couldn't respond earlier. I would not recommend marketing the event without venue and price. We went through the bad experience at Dhirubhai Ambani Institute - even to that extent that we have to really run around to shift the venue just 2 days prior to the event despite us having written confirmation from them as they had sudden need for the hall for placement event. Eventually it all turned out well for us.

Its very important that we get date, venue and price all firmed up first before major annoucements.

We are already hitting November and have lost 6 weeks in venue selection. Would be great if Pune team can finalize this ASAP.  From our experience, venue selection was the most challenging task in the entire event planning and that's why I hope our experience will help in Pune camp.

+1 to what roshan just said, venue is very important when you push for e mail marketing and other kind of event promotion, though you can start activity on the site. Date I think is 7th feb as decided earlier if I rem correctly, price wont be hard to guage as well. Venue is primary.
