Rashmi and I met with Jonah at SocialText yesterday and the space is looking
great. We have overflow space from Princeton review which will include 2-3 of
their classrooms.
Here are some other updates & needs:
FOOD
=======
- basic munchies: Stacie will make a Costco run for these + also pick up some
plasticware & plates
Friday Night:
Stacie will follow-up with Gordon Biersch on our options for spending about $25 -
$30 total per person
Saturday Breakfast:
- Pastries & bagels -- need a volunteer to pick these up (Noah's looks like a
good option, but we need to double-check that they are open before 8am)
- Coffee -- need someone to pick up coffee
- Juice?
Saturday Lunch:
- O'Reilly will hopefully take care of logistics here -- Rashmi -- will you
follow-up with them?
Saturday evening bash:
- we need suggestions for options & a place -- also need someone to help coordinate
Other beverages:
- Water -- can someone pick up about 6 cases of water?
- soda -- volunteers? suggestions?
- alcohol -- volunteers?
- cooler + ice --> Stacie to bring one big cooler -- do we want more?
TECHNICAL STUFF:
==================
- SocialText was able to get an upgrade or borrow bandwidth from nearby -- I
believe that they will have WiFi all set up -- need to double-check to see if we
need any additional access points
- PodCasting recording: Fred & Steve are helping; might need one or more others
to help keep track of the recording device... still discussing options for mic's
and if BayCHI will get a couple of extra MP3 recorders for this
- Projectors -- SocialText has one LCD projector; Rashmi and I were thinking that
it would be nice if we had 2 additional projectors. Does anyone have one that
they can bring for DCamp?
OFFICE SUPPLIES type stuff:
============================
- Rashmi will make an office supplies run -- list includes badges, whiteboard
markers, pens, paper, stickies, other? Stacie to check if she can bring some
post-it poster paper from work.
TIMING INFO
============
- we can get in by 4pm on Friday afternoon
- plan to have intros + probably at least one session on Friday evening
- Friday bash (outside of SocialText) should be around 8:30-10:30pm
- Saturday AM -- probably breakfast around 8am; 9am starting time for sessions
- Saturday wrap -- probably by 6pm-ish -- plan to be all cleaned up and out of
SocialText offices on Saturday night; i.e., no campers
OTHER LOGISTICS
================
- camping notice: need to find out if anyone plans to "camp" at SocialText
offices --> add a notice to WIKI to solicit info by Thursday --> Rashmi to add this?
- liability notice --> Rashmi also to add this?
- other "to-do" items on front page --> I just updated most of these today
- NEED to try to get some RSVP's --> I wanted to add a dPolls or add a blogflux
poll, but it just looks like it would be too confusing. My current vote is to
add a link to a SurveyMonkey poll such as this: http://www.surveymonkey.com/s.asp?u=567952113178
I think that's it for now. Reply with any missing items. Please volunteer for
anything you can help out with and update the wiki info on the Organizers page.

I am from out of state and will not have a car to pick up stuff. But I am more than happy to help with any site logistics, setup, monitoring, whatever...including finishing any leftover (unopened, cold, 'made with artesian well water') beer.

I'm sure there will be lots of running around and little things to do for setup, etc.
Anyone who is available to help with setup can show up at SocialText anytime after 4pm on Friday and/or by around 8am on Saturday.
thanks!

p.s. by the way -- Noel -- are you planning to "camp" (i.e., stay) at SocialText on Friday night?

If you need it, I have a medium size wheeled cooler that I can bring filled with ice on Friday night for the duration or first thing Saturday morning.
I will plan to arrive around 4pm on Friday afternoon to help with setup.
I can help with coordination of Saturday evening activities or with cleanup at end of day at SocialText. Whichever task you can use my help with more.
-Van
P.S. I would volunteer to get some of the large items like cases of water from Costco, but, I injured my right hip recently and am not up to heavy lifting right now. With a partner that was, I could be the chauffeur and use my Costco account to do this though.
yes, your medium-sized cooler would be helpful -- thanks!
Rashmi was looking into Saturday evening -- not sure of the latest update on what she has looked into or money available. Let's touch base at the BayCHI meeting tonight, if you are going to be there.

I am just starting to work on my to-do's. Here is what all I am doing
-Following up with O'Reilly regarding Saturday lunch -Making a run to some office store to get badges, whiteboard markers, pens, paper, stickies, other. (Stacie - let me know if I need to buy some post-it posters) -adding notices to wiki about liability, and doing some other wiki gardening. -sending out a note to BayCHI announcements list about DCamp
Here are things I am bringing on Friday / Saturday -one or two box fans (can anyone else bring any) -a medium sized water cooler (with ice)
I cannot make it to BayCHI tonight, but I will call you this evening to discuss arrangements.

I'd be glad to partner with Van if folks need volunteers to do a Costco run. That'll give me an excuse to get the preview of his Agile Usability session.
