Hi everyone, 
I'd like to officially get the AGM started. I'm not ready to set up a time for a Zoom if people would like to meet in that format, but in keeping with tradition, let's conduct the business aspects of our meeting via this format for now, then work towards a consensus for a Zoom meeting time.

Allan Randall has graciously offered to take over the duties of Treasurer and Secretary for now, but has only very recently taken this on, so an Annual Financial Report may not be immediately possible. 

Ilir Dema has stepped down from the CSC for personal reasons. I wish him all the best in his life's pursuits and hope he will rejoin us in the future. He is always welcome. 

I will now cede the floor to Allan, should he wish to comment further, and then will follow up once he has had the opportunity.

 I have been in communication with Allan Randall, who informed me that 
he is too busy with his teaching duties during weekdays to go through
his materials and post a financial summary, but has more time on 
weekends. I was hoping for a posting last weekend, but perhaps 
next weekend. 

Allan met with Ilir Dema a couple of weeks ago 
who provided Allan with all of the materials for CSC that he had 
in his possession. Ilir did not file CSC annual reports for 2023
with Revenue Canada or Industry Canada and did not 
renew the CSC post office box. I have volunteered to pay
for a post office box, which CSC will need to have an
official address. 

At this CSC meeting we will need to elect new Directors for CSC
who will in turn elect new Officers. Here are  the current

Hi everyone,


As you know by now, Ilir has left his position with us, and I have recently taken over his duties. I met with him shortly before this meeting was called, so my apologies if I am not as prepared as I might otherwise have been. In this posting, I will give a summary of the state of affairs, and will post an official financial statement in a second posting soon.


Items that need to be attended to:


  • P.O. Box


    - The P.O. Box has lapsed. Most of the addresses where things were being sent were changed to Ilir’s home address, however as Ilir has now moved, this address is no longer valid either. That means the CSC has no actual active mailing address. Anything sent to us goes into a black hole right now. This needs to be addressed soon.

    - Suggestion: I can change all addresses that are easy to change (meaning can be done online, some of which are mentioned below) to my home address, so mail at least won’t go into a black hole. In the meantime, at some convenient time, we can open a new P.O. Box., and then all addresses will be changed to that one.

    - NOTE: The P.O. Box costs $200+ per year, which is a large chunk of our annual revenue, and Ilir told me he never really thought it was worth it. I’m not sure if it is worth it either, but I know Ben believes strongly that we should have a P.O. Box and is willing to pay for it personally if that’s what it takes.


  • CSC website & email:

    - mailing address must be changed on the website (see above) 

    - if I am to continue to perform Ilir’s duties, I am guessing this needs to be made official at the AGM

    - email from the CSC address should be forwarded to me (Ilir said Dennis can do this)


  • Industry Canada: 


    - mailing address needs to be changed (see above)

    - email address must be changed

    - $12 re-registration must be done to maintain our corporate status (note: we are a for-profit corporation)


  • Financial statement


     - the financial statement for 2023 has to be issued (I will do that shortly, definitely before we close the AGM).

     - I need to obtain the financial statement for 2022. I have copies of older ones from email threads, but I didn’t find a copy of 2022. Ilir said that he would email me a copy, but hasn’t done so yet, so if anyone has a copy, please email me a copy so I have it.


   • Taxes

       

      - our taxes need to be filed, easy to do, mostly a straight copy from the financial statement, and Ilir gave me past copies of tax returns as samples to go by

 

   • CSC corporate


     - I need to be made a signing officer of the corporation in order to do many of these things, including file the taxes. According to Ilir, this is just a decision that the corporation has to make… I don’t think it requires any further paperwork, just a decision at the AGM.

     - I should get any official lists of current members and member info that exists (from maybe Christine, Ben or Dennis?)


   • Bank


    - We have roughly $400 in our bank account (that is rough from memory, I will post the actual number in the official Financial Statement).

   - new bank card needs to be obtained: the bank card works and I can use it to access online banking, but it is not usable at a bank or ATM because it has Ilir’s personal PIN code attached to it, which is the same as Ilir’s other PIN codes, so he did not share it with me. 

   - Ilir’s name needs to be removed from the bank account and my name added, with signing authority. Ilir said I need to go to the branch (it is at 2 St. Clair Ave. W.) with someone who already has signing authority (he said Christine, Ben or Gary). This could be done at the same time the new bank card is obtained, so that we only need to visit the bank once.


  • Paypal


   - The PayPal account has about $600 (again, that is rough, I will post official figures in the financial statement). That means we have about $1000 in total (I think a bit less) between the two accounts. 

   - I have full access to our PayPal account

   - email address needs to be updated

   - mailing address needs to be updated


That’s it. I will post again sometime over the next few days, which will include an official Financial Statement. In the meantime, if everyone could please read through this list carefully and let me know if there is any of the above that you can fulfill, or help with, in any way, it would be greatly appreciated. We could also proceed to approve any items that need approval at the AGM.

 I think it is essential that CSC have a post office box because
we need an official address that is not someone's home. I have
volunteered to pay for this myself, and have been asking Allan
to remind me of his home address so I can send him a cheque
for the PO Box, which we can use both for communication with
government agencies and businesses, as well as a place for
prospective members to send their dues, if they don't want to
use PayPal, etc. 

We should also have Director elections for the June filing with
Industry Canada. As of now, the only official Members of CSC
are the lifetime Members, who would be the only ones to vote.

 According to the 2022 CSC financial report, the Lifetime Members were

CSA now has ten Lifetime Members: Corinna, Martha, Gary, Nick, Patrice, Ken,
Dennis, Michael, Ben, Yuri and Richard.

I know most of these people, but not all. Perhaps this was a respect for
anonymity, but Allan should have full names and associated email
addresses in the records he received from Ilir.

Hello,

I can send money for CSC expenses to Allan also. 

If we have a (membership) crisis then maybe, we should minimize a paperwork
and simplify CSC structure, finances and taxes.

Also we may need one more person responsible for CSC finances and corporate paperwork
as a backup.

Do we need a corporate status? Is it beneficial for small organization?
Would it be easier to maintain CSC as a private club, private society, Meetup/Facebook,/Google/Yahoo group, 
informal association, etc?

  We don't have a Membership crisis (although more Members would always be useful)
so much as a missing-in-action Secretary/Treasurer crisis, which hopefully Allan
can hope to rectify. CSC is already a corporation, but unfortunately the required
corporate documents were not filed with Industry Canada in 2023. Hopefully,
this situation can be rectified. Donations are welcome, as well as activities 
by CSC Members to increase CSC outreach and activities.

 If you want to be a Director or Officer, Mike, you must pay dues to become a CSC Member.

Hi everyone,

My sincerest apologies for how late I am finally posting a followup to my first post. I took this on in the midst of working multiple jobs and it has had to wait to the end of my academic year for me to commit the time required, as I was overly optimistic as to the time required to sort through the materials I got from Ilir. However, like many things, it is quite easy once you've done it the first time, so most of these duties will not be very time consuming going forward. Also, I am on vacation now until the end of the summer, so should finally have some real time for this.

I have completed the 2023 Financial Report which I attach here as a docx. I have also pasted it as text into this message, as well. 

Note that there was not much activity in 2023, and the report is missing an expense for Industry Canada filing, as things have been laying dormant for a while. This is the next thing that must be done. On my list of urgent things:

    - file with Industry Canada, 2022, 2023 - I am working on this now
    - file income tax returns, 2022, 2023
    - set up PO Box
    -  update banking info and get new bank card

These things all need to get done this summer, so that by the time I am back to work in September, the urgent overdue items at least are off my to-do list.

Please note that paypal is the preferred way to pay dues (I've received a bunch of dues payments recently from many of you, so that's great), although I have also put my own mailing address into the financial report as a way to send in cheques if you need to use cheques, since we do not have a PO Box right now. This is just an interim address until we get a PO Box, which Ben has generously offered to pay for.

Notes on the financial report

This year we have collected $10 in regular membership fees.
The only expenses we had were Paypal transaction fees, which total $0.59.

CSC currently has nine Lifetime Members: Corinne, Martha, Gary, Nick, Patrice, Ken, Dennis, Michael, Ben and Richard.

If anyone wishes to pay a yearly $10 Membership fee, a convenient way to do so is through PayPal. The e-mail address to which the money should be paid is:

That is excellent work, Allan, and I am very impressed by your Financial Report. 

I was not prepared for this report, so I only have slightly more than $300 in 
my Canadian bank account, so I have immediately mailed you a cheque 
for $300 to cover the PO Box cost. and will send  the other promised $700 
within a month.

Income tax returns and Industry Canada filings need to be done for 2024 also. 
Hopefully there will not be too much penalty or push-back from the government.

As for updating banking info, I expect you mean signing officers. 
Let us know what help you need and how we can provide it. 

We need 2024 Directors, notably excluding Ilir


and the elected 2024 Directors can provide signing officers for the bank.

We should have elections for Directors very soon. 

I can also arrange for a CSC Summer ZOOM party at at date
convenient to myself and others. I am thinking July 27 or 28
or August 3rd.
