Regarding election of the secretary for the coming academic year

Dear members,

My term as the secretary of the Astronomy Club has ended with this academic year.  It is now time to elect a secretary for the coming academic year.

I am happy to announce that two of the members, who will now be going to third year- Sarang Karpate (TY Computer) and Shashi Kant Pothula (TY Electrical), have approached me and expressed their willingness to work as the secretary of the club.  Both of them have been members of the club since first year, and have been actively involved in the club activities during this time. Therefore, both of them are eligible candidates for the post. I would also like to add that both of them are capable of handling the responsibilities associated.

In order that the entire process of selection is fair, I suggest that we opt for a formal election by secret ballot via mail. One of us has to supervise the entire process to make sure that there is complete transparency in it.

Here is what we can do- decide upon who shall supervise the process, and mail her/him the name of the candidate we would like to vote for. We can keep a deadline for the voting process, and depending on the number of votes each candidate gets, we shall have the results.

The election could not be conducted earlier as some people had exams going on till yesterday. Suggestions as to how we can go about this in a better manner are welcome. Please reply as soon as possible so that we can conduct the elections at the earliest.
