Please, if you reserved but never got a CodeMash ticket, cancel your hotel reservations.

Many of us who bought tickets are unable to get reservations, especially for Thursday night, as the hotel is completely booked. I know that there is a $25 cancellation fee, but that is the appropriate price to pay for making reservations before tickets went on sale.

I ask you to do the right thing, and remove the complication of trying to transfer rooms only to people "in the know" enough to find this group.

To the conference organizers, I think it may be necessary to require proof of conference attendance when people check in, in order to receive the conference-rate at the hotel. I fear that there may be a significant number of people choosing to take advantage of the significantly discounted rates in order to just make a vacation for themselves, after not getting a ticket to the conference. I hope that is not the case, of course, but with the total lack of availability, I'm forced to wonder.

Actually, that would be a bad thing if you have followed the previous
threads. When cancelled, the room goes to a general pool (no discount).
Thus why most people are asking for transfers.

All, patience is a virtue in this game, unfortunately.  There will
literally be dozens of people that determine, at the last minute, that they
will not be able to attend (work, family, etc.).  Find yourself a room
elsewhere, and then, when these people come forward, pounce.  Both tickets
and rooms will start to open up the week before Christmas or so.

Right now, those people are still being optimistic that they'll finish
their project by the end of the year, but as all good software developers
know, deadlines slip.  Just be patient, while securing a place to stay
nearby, just in case.

We as CodeMash organizers are not going to get in the middle of the
Kalahari's reservation process. As a small group of volunteers we simply
can't manage that.

I think you're inflating the likelihood of people trying to get a cheap rate
at the Kalahari mid-week in January... :)

As I understand it there are something like 750 rooms. The conference is
something like 1300 attendees. No matter how you slice it there will be a
large number of people staying down the street. Most conferences I go to
have this same problem.

Last year Kalahari said they would be offering more roomsto CodeMash. They
want to make money as well and so offering more rooms is a kindness and
courtesy they didn't have to offer. Also running a shuttle service from the
other hotels is a service they don't have to offer.

I was able to book a room minutes after getting a ticket so the opportunity
was there. Although they were at 70% booked when I got my room.

That's a good point. Out of the 750 rooms (assuming that's a close number)
they may not have been offering all of them at the Codemash rate anyway.

Paul; I would not expect that anyone is holding rooms without tickets. There are 850 rooms for 1200 attendees, plus 200-300 speakers and staff, plus vendors that are not either.  If you factor in other resort guests that made reservations without any idea of the conference, it works out to only a little more than half the attendees staying onsite.  

While it is unfortunate that not everyone can stay onsite, it is due to the enormous popularity of the conference and venue.

Everyone that attends code mash is aware of this group.  Therefore everyone would receive the same notification when rooms become available.  Asking people to cancel their reservations to throw them back in the general pool is wrong as is telling the event organizers how to run an event that they have done one heck of a job at all these years.  Just saying.

I think after a few more years of attending CodeMash will give those the snooze ya looze mentality about getting a room in advance.

Being able to get the opportunity to attend CodeMash for me was fair enough.  I'll stay anywhere, and the Fairfield Inn was nice.  Doing that again this year.

Btw, My iPhone tried to switch looze with Lopez...   Sounds about right.

I certainly mean no offense to the organizers of the event. I do think it
is a lot to presume that literally everyone who attends this conferences is
aware of, and monitoring, this google group. This is the first year that I
was made aware of it.
I had not been met with difficulty in making hotel reservations in the
past; perhaps having to stay at other area hotels is a common occurrence,
but I had not heard of it. Perhaps that is why people started making
reservations without having tickets. Still, with all those tickets selling
out in under 2 minutes, I must imagine that there are many people still
sitting on reservations when they cannot attend the conference. I think it
is not "wrong" to ask that they cancel these reservations, when they cannot
fulfill them. Perhaps, the "right" thing to do is not to make reservations
at a hotel when you do not know if you will be using them, if you are
unwilling to cancel them?

I'm really not trying to be a jerk about this, I'm just trying to help all
the people that are stuck without a place to stay.

Perhaps they're holding on to the reservations in the hopes they score
a ticket to the conference. Not much different than your situation,
right? Maybe they're thinking, "I wish the people that got tickets,

I agree with Mike, I doubt anyone would want to take a vacation during
codemash and not attend the conference. I would guess maybe a few room
holders don't have tickets and they will likely get tickets as others plans
change. Primarily due to their determination which is why they booked a
room early.

From personal experience (I became ill the night before Code Mash 2011) I
can tell you that Kalahari will hold on to your deposit and apply it to next
year, meaning you lose nothing in the long run. They even volunteered that
option when I had to call to cancel.

I think, as someone said earlier, a lot of people are holding onto rooms
because there is still a chance they can get a ticket. Things happen and
people have to bow out. We ended up with an extra ticket last year that we
couldn't give away, so there will probably be plenty of opportunities in the
two weeks before CodeMash to secure a ticket.

Also, Jim has stated many times that he's not going to get in the middle of
the Kalahari's reservation process and with all the resort does to
accommodate CodeMash I don't blame him.

Otherwise, I for one don't care if people keep using the google groups or
whatnot to trade.  If I wasn't commuting, I'd be looking too.

Many of us who bought tickets are unable to get reservations, especially for
Thursday night, as the hotel is completely booked. I know that there is a
$25 cancellation fee, but that is the appropriate price to pay for making
reservations before tickets went on sale.

I ask you to do the right thing, and remove the complication of trying to
transfer rooms only to people "in the know" enough to find this group.

To the conference organizers, I think it may be necessary to require proof
of conference attendance when people check in, in order to receive the
conference-rate at the hotel. I fear that there may be a significant number
of people choosing to take advantage of the significantly discounted rates
in order to just make a vacation for themselves, after not getting a ticket
to the conference. I hope that is not the case, of course, but with the
total lack of availability, I'm forced to wonder.
