Updates on venue.
The promising Hotel Deca in the University District of Seattle, will
actually only seat 225 people theatre style (no tables). This set off
a flurry of activity to find a venue that might be in a close price
range and actually seat 250 people classroom style or with crescent
rounds and still be in close proximity to many restaurants and bars.
We are hopefully closing in on 3 locations: Hyatt at Olive 8, Red Lion
and Renaissance. All three have rooms at the $139 - $159 rate. We
are hoping to have this settled by next week.
Thought I ought to send an email to keep folks updated as well as to
let people know we're hoping to send a more organized shout out for
volunteers soon.

I don't know if it HAS to be 250 people. I think the conf was just 200 for years 2 and 3, no? But 250 does seem a niceish size. Then again 225 is nearly 250. I agree that 225 is a fine limit but I think Anjanette was saying that the Hotel Deca 225 seating would not include tables. Laptops might get hot on the lap after a few hours. :)

No matter how big it is, I suspect we it will fill up with a wait list. But if it gets too much bigger than it is now, it'll be too big to pull it off with the costs and all volunteer organizing and lack of owing things to corporate sponsors and structure (one big plenary) -- that we like. It may already be too big to conveniently do that, some would like to see it even smaller again.
But either way, clearly chair-only seating is a very sub-optimal seating arrangement for the 'plenary' sessions, that nobody wants.
But I don't think the conf needs to try to be big enough to meet all possible interest -- it can't do that and be the conf that we want. And I think the conf organizers have some discretion here -- as evidenced by the inching-up of the capacity every year at the initiative of the organizers (which some people like, and some people don't like). What can be increased by organizer discretion can be decreased by organizer discretion. If memory serves, first couple years were 150 or less, than 200, 250, 260. With a wait list all years except the first one or two. On the other hand, the 2008 conference had chair-only seating for ~200 -- can someone verify the # of attendees in Portland? -- and even though it wasn't the most comfortable arrangement, it was still an excellent conference. Which is to say: the worst-case scenario in this thread will still result in a great conference, I am sure. (And I like the idea of having the conference stay in the U. District.) Because c4l moves around, it needs to be done in such a way that institutions can be found to host it. Space, connectivity, food, etc are expensive. The bigger the conference, the fewer viable options, and the greater the cost/risk for whoever hosts it. One sign that it's worth giving this some thought is the fact that there was only one hosting proposal this year.
Financial/logistical issues aside, there is also the problem of diluting the conference. I would argue this has already happened with LITA as well as a number of conferences that were once good but then just became another show.
We were guilty of pushing the number to 250 when we hosted but it was pretty much because that's what the capacity of the place we had arranged was. I'm in favor of keeping it smaller (and keeping the possibility of hosting more realistic to a larger number of places/institutions).

Realistically, 200 is the absolute minimum these days (IMO) but I agree regarding flexibility for the host.
While I don't want people to be stuck on the wait list, it does at least encourage additional events and chapters. Personally, I'd like to see more local events flourishing!

Seems like recruiting someone to do this should be pretty easy, but I'll step up if finding people is an issue. I've always thought the local c4ls are a very good and healthy thing on a number of levels.
