How far in advance do they have to schedule?
Do you charge a different rate for groups? If so, what is it?
Is there a difference between school group and regular groups?
Do all school groups receive the same rate? (We charge for schools
that do not visit for academic reasons.)
Do you offer docent guided tours? If yes, do you charge extra?
Where do you get your docents and who trains them?
Do you offer guided tours year round?
Do you offer guided tours for free at any time during the week?
I know this is a lot of information and I deeply appreciate your help!

To schedule with a tour guide they must book 6 weeks in advance, for a
self guided group a few days is all we need. Other special programs
may have their own time line but this is what we do for an average
group tour.
Groups get a $2 per person discount on admission (ie a $10 adult
ticket is now $8 for a self guided group). Groups with a tour guide
pay $4 per person for the guide (ie a $10 adult ticket is $12 - $8 for
admission and $4 for the guide = $12 per person). The only exception
is school children who only pay a flat $4 with a guide and $3 for self
guided (since they are our largest audience). We will take special
needs into consideration when needed (Goodwill groups, very poor
schools etc.) on a case by case basis for additional discounts.
Besides the pricing there is really no difference between school and
other groups. Our guides do the same tour only adjusting concepts,
vocabulary, etc. for the age group.
All schools pay the same rate unless they ask for a discount and have
a high percentage of students on free/reduced lunch.
All our docents are volunteers. Every couple of years we hold a docent
class (it lasts for about 9 months) and then they commit to at least 2
years of touring. We have a docent educator who trains them with the
help of our Education Director.
We do offer tours all year round but there is a natural drop in the
summer - especially August. During these times we offer more drop in
programs for families that our docents will facilitate (tours, drawing
experiences, family games, etc.)
During the week we offer drop in tours that are free with admission.
Right now they are Thursday evening, Friday at noon, Saturday at noon
and Sunday at one. We are pushing for everyday but we aren't there
yet. Each tour has a theme or is "visitors' choice" and you just meet
at the lobby at the right time and off you go!

We have no admission fee, so my answer may not help you much on this
one. Everyone is free.
There is no distinction between school and regular groups, we just
classify them as school/children tours and adult tours.
All of our docents are volunteers, so a group must request if they
want a guided tour, and then it is based on the availability of the
volunteers to lead it. We also have a 20 people per docent policy, so
if it's a large group we will have to get more than one docent. We
train our docents. We generally do the training a few times a year and
we also have a book about the museum and our buildings (we are an
outdoor historical park) so they must learn about those before they
can give tours.
We do tours year round, but there is definitely a busy period and for
us that is May. But we generally have several tours scheduled each
month. Because a majority of our museum is outside, we have much fewer
tours during the colder months. We actually have quite a few groups in
the summer, ranging from day care groups to adults.
