My bookmobile (Natick, Massachusetts) has a great a/c system so I am not
yet faced with this problem. However, I would be interested to hear how
folks respond to this question.
As a side note: I know that the Newport, Rhode Island Public library
changes their bookmobile hours during the summer. They do morning runs -
back by noon or 1 pm during the summer. During the school year, they do
runs in the afternoon.

We have had a few issues with our A/C and are getting it fixed, however,
in CO, we've had over 5 days of 100 degree weather and by mid-afternoon
it becomes unbearable.
We are taking laser sensor temp readings each hour and when the back
area (the affected A/C unit) gets what staff deem too warm, we close the
stop early.
Staff try to stay out on the bookmobile as long as they can.

Our outdated written guidelines say that we will be off the road when
forecasted temps are above 95, but that would kill a lot of our route days
-- whoever wrote that obviously hadn't ever stepped outside in Nebraska in
the summer. Most of the time with temps up to almost 100 we would be OK,
depending on how long we will be out that day and if we have any shade. The
time out on the road is a factor because there comes a point in the day
where the heat from the generator pretty much cancels out any good the air
conditioners are doing.
Right now we are down to one air conditioner instead of two. When the other
conked out this spring, we thought we were just a few weeks away from the
delivery of a new vehicle, so we opted to not get it fixed due to cost.
Delivery has been delayed and there have been a few days so far this summer
where by the end it has been uncomfortable. Forecasted highs for us
tomorrow are at 100, and it's the busiest day of our route. I plan to cozy
up to the nearest shade tree. We also have a small fan running under our
desk. Every little bit helps! Is there any opportunity for shade, either
tree or building, on your route? Even if you can just get the glass
portions of the vehicle in the shade, it beats broiling.
I'm trying to remind myself that even if it hits 100 here tomorrow, it
could be worse -- the west end of Nebraska might reach 110. Yikes.

The truck is small enough that the staff sit outside and can see inside the back doors. We don't have specific guideline for heat. What we do have is guidelines set in place that if the driver does not feel comfortable going out for any reason they don't.

OK, I will admit: I caved today and cancelled the route. Forecast was for
102 and somehow that extra two degrees just seemed unbearable running with
half of the A/C down.
The other end of the state hit 115 yesterday, so it could be worse. I did
get to bring the holds out to a county library outreach site so was able to
provide service to at least a few customers today.

I'm curious if anyone has any special strategies for dealing with the heat. Drinking lots of cold water is common sense. But what about things like parking in places that aren't paved with blacktop so it is cooler or opening up your generator hatch at stops to help cool it down? Any other ideas?

Last year we ran some "outdoor lobby stops" with crates of books, a folding table, and a laptop because our bookmobile was off the road (and the area was under a heat advisory). I was and am still proud of my staff for their dedication to our patrons! I also wondered how the rest of the library employees would react if I told them we were gonna move their departments out into the parking lot so they could have the same experience - I'm pretty sure most would not have shown the same dedication.
Outreach and Bookmobile employees are an enthusiastic, dedicated, and hardy group.
Now for some practical advise...drink lots of water and avoid soda and other caffeinated beverages. Eat balanced meals and go easy on processed sweets.
Make sure you and your employees are aware of the signs and symptoms of heat exhaustion and heat stroke.
Many of you have mentioned parking in the shade. We have plenty of stops that don't have shade but we do orient the bus so that the doors (and windshield if possible) are on the shady side of the bus.

One follow up question on Martha's point about orienting the vehicle
relative to the sun if there's no option to park it in the shade: If
you have to have the rays hit one of the broad sides of the vehicle, is
it better to have it hit the side with the doors, or the opposite side
with the generator compartment?
I ask because during a heat spell last year, I think I tripped the
temperature protection on the generator, and since then I've been wary
of doing so again. Does keeping the generator on the shady side make a
significant difference on its operating temp?

We regularly have temperatures over 110 in the summer, and I have not had issues with the generator - well, not because of the heat. And that's with two CA units operating and two rooftop AC units blowing all at the same time. We had an Onan generator previously, ( two, actually, and I was never happy with them) and it would trip out every few weeks in high heat - but our PowerTech generator has not had any issues whatsoever with temperatures.

OK, I will admit: I caved today and cancelled the route. Forecast was for 102 and somehow that extra two degrees just seemed unbearable running with half of the A/C down.
The other end of the state hit 115 yesterday, so it could be worse. I did get to bring the holds out to a county library outreach site so was able to provide service to at least a few customers today.

Chris: Interesting point about the generator. I've never had a heat issue with my generator but outside actual temperatures in my area rarely top 100 (heat index might reach 110 though on occasion). My summer stops are rarely longer than one hour and we shut down our generator between stops. Because we move frequently, the orientation of my bus isn't always with doors on the shady side. I should also add that doors on the shady side have an impact on interior heat on days that we are not using the AC and we are keeping the doors propped open - this is our preferred way of operating. However today outside temps are supposed to hit the mid 90s and we will be running the AC and keeping the doors closed.

We regularly have temperatures over 110 in the summer, and I have not had issues with the generator - well, not because of the heat. And that's with two CA units operating and two rooftop AC units blowing all at the same time. We had an Onan generator previously, ( two, actually, and I was never happy with them) and it would trip out every few weeks in high heat - but our PowerTech generator has not had any issues whatsoever with temperatures.

One follow up question on Martha's point about orienting the vehicle relative to the sun if there's no option to park it in the shade: If you have to have the rays hit one of the broad sides of the vehicle, is it better to have it hit the side with the doors, or the opposite side with the generator compartment?
I ask because during a heat spell last year, I think I tripped the temperature protection on the generator, and since then I've been wary of doing so again. Does keeping the generator on the shady side make a significant difference on its operating temp?

Last year we ran some "outdoor lobby stops" with crates of books, a folding table, and a laptop because our bookmobile was off the road (and the area was under a heat advisory). I was and am still proud of my staff for their dedication to our patrons! I also wondered how the rest of the library employees would react if I told them we were gonna move their departments out into the parking lot so they could have the same experience - I'm pretty sure most would not have shown the same dedication.
Outreach and Bookmobile employees are an enthusiastic, dedicated, and hardy group.
Now for some practical advise...drink lots of water and avoid soda and other caffeinated beverages. Eat balanced meals and go easy on processed sweets. Make sure you and your employees are aware of the signs and symptoms of heat exhaustion and heat stroke.
Many of you have mentioned parking in the shade. We have plenty of stops that don't have shade but we do orient the bus so that the doors (and windshield if possible) are on the shady side of the bus.

Covering the windshield with blinds makes a big difference. Opening the hatch of the generator might help keep the generator cool depending on the installation. They need air some air circulation to keep them cool and our experience was that our original generator was not installed according to spec in that regard.

Don't forget the electrolytes, and if there's a place that sells ice cream (I had some at one of my stops yesterday) get yourself some. Park in the shade whenever possible and if you have shades on your windows pull them down at your stops.

With our bookmobile having been in the shop for all of June, I found it necessary to write some guidelines:
*Lobby Stops During Bookmobile Downtime*
When the bookmobile must be taken to the repair shop for work, the Outreach Office will continue to provide circulation service as scheduled through a lobby stop. Staff will deliver books and other materials in their personal vehicles to the bookmobile stop and work from folding table. Where the venue permits, staff will set up the lobby stop inside.
Where an indoor lobby stop is not permitted, the Outreach staff will establish their workstation in the parking lot, as close as possible to the space in which the bookmobile usually parks.
*Prohibitive Weather*
Under hazardous weather conditions that could endanger the public and staff, bookmobile stops and lobby stops will be suspended until the condition is no longer a threat.
These weather conditions include
* flood or fire, causing inaccessibility of roads
*tornado warnings
*winds exceeding 40 miles per hour
*severe thunderstorms
*other official weather alerts
When an outdoor lobby stop is planned as a substitute for the bookmobile during periods of repair, the outdoor lobby stop may be canceled if one of the above conditions exists or if the San Antonio Metropolitan Health District issues an Excessive Heat Warning (heat index of 115 degrees).
*Procedure for Suspension*
The Outreach Coordinator or, in that individual’s absence, the Outreach Librarian will seek permission from the Branch Coordinator to suspend service on a day-to-day basis as soon as the threatening weather condition is known.
Outreach staff will notify the public of the suspension through an announcement on the Library’s Twitter and Facebook pages and the bookmobile blog. Staff at the branch libraries will be notified so that they can answer inquiries.
Outreach and other SAPL staff will work with patrons who have items due on the date of the cancelation. These items will be renewed and assigned a due date based upon the next scheduled bookmobile stop at that location.

Does your library’s insurance cover use of personal vehicles? My insurance company’s yearly renewal includes a question about whether I use my car for business, to which I always answer no. I assume that to mean they would question any damage that would occur while using my car for business.

When an outdoor lobby stop is planned as a substitute for the bookmobile during periods of repair, the outdoor lobby stop may be canceled if one of the above conditions exists or if the San Antonio Metropolitan Health District issues an Excessive Heat Warning (heat index of 115 degrees).
Procedure for Suspension
The Outreach Coordinator or, in that individual’s absence, the Outreach Librarian will seek permission from the Branch Coordinator to suspend service on a day-to-day basis as soon as the threatening weather condition is known.
Outreach staff will notify the public of the suspension through an announcement on the Library’s Twitter and Facebook pages and the bookmobile blog. Staff at the branch libraries will be notified so that they can answer inquiries.
Outreach and other SAPL staff will work with patrons who have items due on the date of the cancelation. These items will be renewed and assigned a due date based upon the next scheduled bookmobile stop at that location.
